Choosing the Best Salon POS System for Your Beauty Business

The best part about working in product marketing at Square is talking with salon owners, from one‑chair studios to multi‑location powerhouses. Along with analyzing the data from the 600,0001 beauty, wellness, healthcare, and fitness businesses that run on Square, those conversations and insights have shown me that a modern point-of-sale (POS) is the command center that ties every dollar to staff, services, and clients.

In this guide, I’ll share the features salon owners can’t live without, the data behind them, and a side‑by‑side comparison of leading salon POS options so you can choose the one that powers your own heart‑led pursuit.

What makes a great POS system for salons?

Salons have scheduling quirks and customer‑service expectations that generic POS tools simply miss. At a minimum, look for:

  1. Appointment scheduling: Efficiently manage bookings for clients, avoid overlaps, and optimize staff calendars.
  2. Inventory management: Track retail beauty products, manage stock levels, and automate reordering.
  3. Employee time tracking and commissions: Monitor staff hours, calculate commissions, and manage payroll.
  4. Integrated payments and tipping: Offer seamless payment options, including credit, debit, tap and digital wallets, with customizable tipping features.
  5. Customer records and loyalty programs: Maintain detailed client notes and implement reward systems to encourage repeat business.
  6. Automation to reduce manual tasks: Trigger text and email reminders to clients, and enable a waitlist that fills cancellations.

Beauty businesses that use Square’s cancellation fees see a 21% drop in cancellations and no-shows, according to Square data.

Why these features matter to clients

These features aren’t only important to salon operators, but to the clients they serve. According to the Square Industry Insights: Client Loyalty In the Beauty Industry report, 57% of clients who try a new hair stylist return to their original stylist. The top reasons clients return are directly related to the features a robust POS offers:

Take popular Seattle salon Urban Nail Box. Using Square since the beginning, owner Rachel Dang grew the business to two locations, 34 employees, and over $1.5 million in annual revenue. “An exceptional experience at the salon is part of our identity at Urban Nail Box,” said Dang. “Square makes it easy to keep our schedule streamlined so no client ever waits more than five minutes past their booking time.”

Businesses that took Square Loans3 grew 6% faster after funding.

I used Square from day 1 when I was operating as a one-woman show. It was the easiest platform for online booking, automated appointment reminders, payments processing, marketing emails, and now even a marketplace app, and I’ve been able to secure custom fees as my business has grown.”

Elevate your salon experience

The right POS does more than ring up sales; it safeguards loyalty and unlocks new revenue streams. If you’re considering venturing into classes or retail offerings in the future, it’s important to choose a POS provider that has the tools available when you’re ready. Sixty-three percent of consumers reported purchasing a retail item from a beauty business, according to the Square Future of Customers report, so take note of the additional offerings your clients may be looking for.

1. Use Loans + Savings (See Note), then Checking. (Make sure to include the APY disclosure language for Savings if appropriate)

Note: The Savings disclosure can be combined into the Loans disclosure using the sentence “All loans and savings accounts are issued by Square Financial Services, Inc. a Utah-chartered Industrial Bank, Member FDIC.” in place of the similar sentence of the Loans disclosure.

If the collateral is focusing on Banking, we need to follow the Terminology Guidelines.

Under those guidelines, generally we should use the term “banking” as opposed to “bank” where possible, and avoid terms like “bank account”. Also, when banking is first mentioned, the following text should appear prominently (larger font than other disclosures and bolded) proximate to that first reference (in the actual copy):
Block, Inc. is a financial services company, not a bank. Banking services are provided by Square’s banking affiliate, Square Financial Services, Inc. or Sutton Bank; Members FDIC.

Note: this may not be required in certain emails that are short/largely text based. But we may still want to include this text as a footer. Please sync with Legal DRIs for appropriate disclosure placement.

2. Block, Inc. is a financial services platform and not an FDIC-insured bank. FDIC deposit insurance coverage only protects against the failure of an FDIC-insured deposit institution. If you have a Square Checking account, up to $250,000 of your balance may be covered by FDIC insurance on a pass-through basis through Sutton Bank, Member FDIC, subject to aggregation of the account holder’s funds held at Sutton Bank and if certain conditions have been met. See Terms and Conditions.

¹ Instant availability of Square payments. Funds generated through Square’s payment processing services are generally available in the Square Checking account balance immediately after a payment is processed. Fund availability times may vary due to technical issues.

ACH transfer fund availability: Instant availability does not apply to funds added to the Square Checking account via ACH transfer. ACH credit transfers to your account may take 1–2 business days.

² Square Debit Card is issued by Sutton Bank, Member FDIC, pursuant to a license from Mastercard.

³ Instant transfer requires a linked bank account or supported debit card and costs a fee per transfer. Funds are subject to your bank’s availability schedule. Minimum amount is $25 and maximum is $10,000 in a single transfer. New Square sellers may be limited to $2,000 per day. Fund availability times may vary due to technical issues.

⁴ With early deposit access, Block, Inc. may make incoming electronic direct deposits made through ACH available for up to two days before the scheduled payment date. Not all direct deposits are eligible. Early availability of direct deposits is not guaranteed and may vary from deposit to deposit. Early deposit access is automatic and there is no fee.

5 Cash deposited into your Square Checking account is generally available in your checking account balance immediately after a deposit is processed. Fund availability times may vary due to technical issues.

VanillaDirect Pay is provided by InComm Financial Services California, Inc. and by InComm Financial Services, Inc. (NMLS# 912772), which is licensed as a Money Transmitter by the New York State Department of Financial Services. Terms and conditions apply.

3. Square, the Square logo, Square Financial Services, Square Capital, and others are trademarks of Block, Inc. and/or its subsidiaries. Square Financial Services, Inc. is a wholly owned subsidiary of Block, Inc.

All loans are issued by Square Financial Services, Inc. Actual fee depends upon payment card processing history, loan amount and other eligibility factors. A minimum payment of 1/18th of the initial loan balance is required every 60 days and full loan repayment is required within 18 months. Loan eligibility is not guaranteed. All loans are subject to credit approval.
