How to manage client scheduling across time zones

Scheduling appointments with clients in different time zones can get messy fast. A session booked for 2:00 PM in your time zone might be 11:00 AM or 5:00 PM for your client, depending on where they’re located. Without a clear system, these differences lead to missed appointments, frustration, and wasted time.

But it doesn’t have to be this way. With Acuity Scheduling, you can set up a booking page that adjusts automatically for time zones. This guide shows you how to:

Why time zones cause scheduling issues

Scheduling mix-ups often happen because clients see your availability in your time zone, not theirs. For example, if you’re based in Chicago and list a 3:00 PM slot, a client in London might book it without realizing it’s actually 9:00 PM their time.

Manual time conversion isn’t a reliable fix, especially when you’re working with clients across multiple zones. The more clients you manage, the easier it is for small mistakes to pile up.

A consistent, automated system makes these errors less likely. Tools like Acuity Scheduling take care of the math for you, so clients always book sessions at times that make sense in their local zone.

Display availability in your clients’ local time zones

The best way to avoid confusion is to show clients your availability in their own time zone. Acuity Scheduling does this automatically. When clients visit your booking page, it detects their location and adjusts the displayed times to match their zone.

To set this up:

  1. Go to the Availability section of your account.
  2. Click “Global Scheduling Limits.”
  3. Select the time zone setting that fits your business.

Once this is enabled, your booking page will display times correctly for each client, no matter where they’re located. This way, clients book the time they actually want, and you eliminate the need for back-and-forth confirmations.

Set working hours that overlap with client schedules

Even with automatic time zone conversion, your hours still need to align with your clients’ schedules. A 9:00 AM slot in your zone might fall in the middle of the night for some clients.

To set hours that work across locations:

Even when appointments are booked correctly, no-shows can still happen if reminders or confirmations list times inaccurately. To reduce missed sessions, send automated confirmations and reminders that display the appointment time in the client’s local zone.

Acuity Scheduling lets you send these reminders by email or text. Since the times match what the client booked, there’s less chance they’ll forget or misinterpret the schedule. This leads to fewer missed appointments and helps you maintain a steady workflow.

Simplify scheduling, no matter the time zone

Managing client appointments across time zones doesn’t have to be complicated. By showing availability in your clients’ local time, setting overlapping working hours, and using automated reminders, you can reduce errors and stay focused on providing great service.

FAQs

Can I set different time zones for different calendars?

Users on the Premium plan can add more than one calendar, and set a different time zone for each calendar. Other users have one time zone for all calendars.

What happens if a client changes time zones after booking?

Clients can’t edit time zones after booking.

Do Acuity appointments adjust to the time zone in Google Calendar or Outlook?

When a client schedules an appointment, they can click a button on the confirmation page to add the event to their outside calendar, such as Google Calendar, Outlook, or iCloud. When the event is added to their calendar, it will display translated into their calendar’s time zone. So if the appointment is at 9:00 AM ET, but they view the appointment on a calendar set to Central Time, the appointment will show up at 8:00 AM CT.
