With Square Appointments Plus or Premium subscription, you can use waitlist to fill schedule gaps caused by last-minute cancellations or reschedules. It also allows you to:

  • Enable popular staff to capture demand from clients who want to book but are hindered by limited availability.

  • Message clients, add staff notes, or remove the client from the waitlist.

Appointments Subscription FAQ

What is the difference between the Square Appointments subscription plans?

There are three Square Appointments subscription plans: Free, Plus, and Premium.

Square Appointments Free provides access to all the essential features you need to run your business.

Square Appointments Plus provides access to the core Appointments features to help you save time, expand your business, and operate smoothly.

Square Appointments Premium gives you access to everything Square Appointments has to offer, and is best for large teams and multi-location businesses.

What will happen to my staff permissions if I subscribe to Appointments Free or Plus and lose access to the custom permissions I’ve set up?

If you have created staff accounts and they are assigned to a custom permission set (e.g. Manager, Service Provider, Front Desk), you are utilizing Team Plus features. Team Plus, which is now included with Appointments Premium, allows you to define unlimited permission sets, set up commissions for your team, pull labor and sales reports, and more.
:If you subscribe to Free or Plus, you will only be able to create one set of permissions for your team under Team Permissions. To change a staff member’s permission set:

  1. Go to the Staff tab on your Square Appointments Dashboard.
  2. Click the staff member that requires a changed permission set.
  3. Under Staff Member Permissions, select the Team Permissions permission set.
  4. If you see a message that this permission set does not have Appointments access enabled, click Enable team permissions for Appointments and follow the prompts to enable the proper permissions for this permission set to access Appointments.
  5. Click Save.

You can always edit permissions by editing the Team Permissions set in the Team Permissions settings on your Square Dashboard.

If you would like to keep access to create and assign unlimited custom permission sets, you will need to subscribe to either Appointments Premium or separately subscribe to Team Plus.

Can I subscribe through the Square Appointments app?

You may see information of the new pricing plans and features in your Appointments mobile app, but subscribing to an Appointments plan can only be done through your online Square Dashboard.

Will there still be a free option?

Yes! Appointments will still be available at no monthly cost under the Free plan, which enables you to manage bookings and payments for a single location. However, some features will only be available to paying subscribers. You only pay for processing fees.

Do you offer custom pricing for Appointments plans?

Yes, custom pricing is available to businesses who process more than $250k in card sales per year. With the custom pricing plans, you get access to all the features for free, and are eligible for subscription discounts on additional Square business tools. To find out if you’re eligible for custom pricing, please Contact Sales.

When I select a plan, when will I be charged?

Any changes to your plan will be reflected in your next billing cycle (the first of the next month).

If you upgrade to the Plus or Premium plan, you will get access to those features immediately and your next bill will be prorated based on your activation date.

If you downgrade to the Plus or Free plan, you will get access to those features immediately, but we will not be able to provide a refund for any unused time under the paid subscription.

Can I pause my plan at any time?

You can pause your subscription for up to three months — you won‘t be charged during this time. Resume your subscription at any time and pick up where you left off. To learn more about pausing subscriptions, visit our Pause Subscription FAQ.

I have multiple locations but only want to use Appointments at one location. Can I do that?

Yes. With Square Appointments Plus or Premium, you can select the location where you would like to use Square Appointments at. However, you cannot apply different plans to different locations, so any location you do not select with your Square Appointments plan will not be bookable.

I have multiple locations today but want to stay on Free. What will happen to my other locations?

You can select which location you would like the Free plan to be applied to. The data for your other locations will always be stored there, should you upgrade to a plan that manages multiple locations.

I need help choosing a plan that’s best suited for my business. Who can I talk to?

Please feel free to contact Square Support with any questions you may have. You can speak to our team via live chat, phone, or email.

Is there a difference in the rate I’m charged if my customer makes the prepayment for an appointment or if I book it on their behalf?

No — whether your client pays the prepayment on the booking site or you create the appointment in your dashboard and apply the prepayment, the rate charged should is the same. However, if you create the appointment and apply the prepayment, as a best practice, you should always receive credit card authorization from your clients to save and charge a card on file.

Why is a cancellation fee the same rate as an online payment?

If you have a no-show or cancellation policy in place that charges clients a fee for missing or canceling their appointment, your clients consent to this policy at the time of their appointment booking on your booking site. If you take bookings by phone, you should receive verbal consent and credit card authorization from your clients to save and charge a card on file for future bookings.
