About printing order tickets

Printing order tickets is the process of generating physical copies of the details of an order. These tickets contain relevant information about the order, such as the items ordered, any customizations or special instructions, and the customer's name or ticket number. Order tickets are typically used in restaurants or retail establishments to facilitate the preparation and fulfillment of orders. They can be printed automatically after each sale or manually when needed.

Before you begin

Before you print order tickets, Connect a printer to your point of sale.

Create printer profiles

A printer profile is a collection of settings used to configure one or more devices with preset printer settings. Create a printer profile and assign it to your device to apply the customized settings to a printer connected to the device. For example, you can use a printer profile to make all devices connected to a printer automatically print receipts. Learn how to set up printer profiles, including how to set up order tickets or order stubs.

Set up order tickets and stubs

An order ticket will show all the details of an order (e.g. a salad item will list that it includes extra lettuce, extra tomato, extra dressing, and no spinach). Once order tickets are enabled, new orders will automatically print from your supported printing device, even if a customer receipt isn’t printed.

An order ticket stub will simply show that one salad is being ordered (with no details about what's included in the salad).

You can configure both settings from your printer profile.

Print order tickets

Once you've created printer profiles and connected compatible printers, you can print order tickets from your point of sale devices and Square hardware.

Reprint order tickets

You can reprint order tickets from the Transactions tab or Open Ticket list.

To reprint your transactions from the Square app:

  1. Tap Transactions.
  2. Locate the order you’d like to reprint > tap Reprint Ticket.

For closed tickets, the option to reprint will only appear if the order is completed in the last 1 hour.

To reprint from your open tickets on the Square app:

  1. On the Checkout screen, tap Tickets.
  2. Select ticket to reprint > tap Reprint Ticket.

Print to multiple printers

If you’re using multiple printers, you can also send specific items to a selected printer. For example, send drink orders directly to the printer located at your bar. When configuring your printers, make sure to select which item categories will print for each one.

To do so:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Select the relevant printer.
  3. Under ‘In-person order tickets’ and ‘Online order tickets,’ tap Categories to print to choose the categories you’d like to print.
  4. Repeat on additional printers.
  5. Tap Save.

Print single items per order ticket

With the Square POS app on your iOS device, you can assign item categories to different printer profiles, and print a single item per order ticket. This is useful if you need to send specific items to different prep stations or service counters to fulfill orders.

To get started, be sure to assign your items to specific categories. Once complete, you can assign categories to each printer profile. To do so from the Square POS app:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Select the relevant printer profiles.
  3. Under ‘Profile details,’ tap Edit.
    • Tap In-person order tickets to toggle on Use this printer for in-person order tickets, or
    • Tap Online order tickets to toggle on Use this printer for online order tickets.
  4. Toggle on Single item per ticket if you want to print a single item per ticket. This is useful if you need to send specific items to different prep stations or service counters to fulfill orders.
  5. Select the category(s) you’d like to print at this printer profile. Single-item printing will only apply to the categories you select.
  6. Repeat these steps for each of your printer profiles.
  7. Tap Save.

You can also print single items per order ticket with orders received from your Square Online website via QR code ordering.

Print multiple order tickets to one printer

To use one printer to print multiple order tickets from the Square POS app:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Tap Profiles > Create profile or select an existing profile.
  3. Enter a printer profile name and tap Printer to select your connected printer.
  4. Toggle on whether you’d like to print: Receipts, In-person order tickets, Online order tickets, Order ticket stubs or Void tickets.
  5. Tap Save.
  6. Repeat these steps to create multiple printer profiles to print multiple order tickets.

Print kitchen names

Kitchen names let you customize how your items appear on printed order tickets and kitchen displays. You can configure printer profiles to print items, variations, and modifiers with their kitchen names. To set up kitchen names from your Square Dashboard:

  1. Sign in to your Square Dashboard, then go to Items & orders > Items > Item library.
  2. Select an item, then enter the Kitchen facing name.
  3. Click Save.

Once you’ve added kitchen facing names to your items, you can print kitchen names. To do so:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Tap Profiles > Create profile or select an existing profile.
  3. Tap In-person order tickets then toggle on Print kitchen names.
  4. If you’re accepting online orders, tap Online order tickets then toggle on Print kitchen names.
  5. Tap the back arrow, then tap Save.

Automatically print new online orders

If you’re accepting online orders, you can automatically print new online orders when it is time to make them. To do so:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Tap Profiles > Create profile or select an existing profile.
  3. Tap Online order tickets then toggle on Automatically Print New Orders.
  4. Tap the back arrow, then tap Save.
Compact tickets (saving printer paper) are not yet available in Order Manager.

Group items on order tickets

With Square, you can group items in order tickets to help your staff fulfill orders efficiently and read tickets quickly to see how many of the same items need to be made or collected for an order. It will also allow you to save paper for printed tickets. When there are multiple identical items in the same order, items are grouped together regardless of how they were entered in the order.

Items will only group together if they have the exact same details, including identical or no modifiers, variations, dining options and notes. Item order will always revert to the first time an item appears on the list. Even if two items have the exact same modifiers, if the modifiers are ordered differently, then the items will not group together on the order ticket.

Combine identical items is off by default for existing printer profiles but will be enabled by default for all new printer profiles you create.

For grouped modifiers, line item modifiers also include a quantity. This information is displayed on printed order tickets and on the Orders tab on your Point of Sale. To view, tap ≡ More > Orders > select an order, and review the item information.

Point of sale

You can customize your item grouping settings so that items with the same details will then be automatically combined into one line item. This can be configured from the Square Point of Sale, Square Restaurants POS, or Square Retail POS apps. To do so:

  1. Tap ≡ More > Settings > Hardware > Printers.
  2. Tap the relevant printer to access the printer settings.
  3. Scroll down to In-person order tickets.
  4. Toggle on Combine identical items.

If you toggle on Single item per ticket, this setting overrides grouping items and automatically prints each item, ungrouped, on its own ticket.

Square KDS

To group items for Square KDS from your Square Dashboard:

  1. Sign in to your Square Dashboard then go to Settings > Device management.
  2. Click Kitchen settings > Order settings.
  3. Under ‘Grouping items,’ toggle on Combine identical items.
  4. Click Save.
