Stock conversion Sell

With stock conversion, you can manage inventory when selling items in different units of measure. Stock conversion will allow you to:

  • Break stock of an item into smaller components to allow for easier tracking and management.

  • Save time in receiving and stock tracking by using units of measure that match how you receive and count items.

  • Supports those who sell an item by multiple units (i.e. 100 mL bottle) and want to use a single source of inventory to generate different views of that inventory.

Stock conversion

If you need to track inventory for things you sell in multiple units, you can do so by utilising the stock conversion feature in your Item Library. For example, if your retail business sells wine by the bottle and by the glass, you can now track all of your inventory on a single item variation so that whether you sell it by the bottle or by the glass, the inventory is reduced. Keep in mind that stock conversion calculations must be made based on the stocking unit (e.g. per bottle, not per glass).

To get started:

  1. Go to Items > Item Library from your Square Dashboard.

  2. Select an existing item or click Create an item.

  3. Under 'Units', select Add unit.

  4. Select a unit or create a new one like ‘glass’.

  5. Select the precision. For new units, enter an abbreviation. Click Create.

  6. Under the Conversion section, enter in the conversion details specific to the item variation. For example, a conversion for a bottle of wine might be ‘4 glasses is equal to 1 bottle’.

  7. Click Done > Save.

The unit is applied to all variations of the item. If you are tracking stock for an item, the stock column in the Variations table will display the quantity of that item available in each unit. If you do not stock or sell a particular unit of a variation, set that unit to non-sellable to keep it from appearing on your POS.

You can add multiple units to any item that does not use Item options.

Edit sell by unit

  1. Select the unit you want to edit > Edit custom unit screen

  2. Add custom details > click Save.

  3. Note that this can also apply to situations where stock by is a custom unit but sell by is a standard unit.

Delete sell by unit

There are two ways to delete your sell by units. 

From the item details:

  1. Select the unit you want to delete and click on the X at the end.

  2. In the 'Remove unit' popup, click Remove.

On the unit:

  1. Select the unit you want to delete.

  2. An Edit unit screen will appear > click Remove.

Confirm in the 'Remove unit' popup by clicking Remove.

Sell your inventory

From the Square for Retail app

  1. Navigate to Items and select the item you’d like to sell.

  2. Select the Variation you’d like to sell, then select Add to cart. 

  3. If there are multiple unit types for a single variation, you’ll need to select the variation and then select the unit.

  4. Next, input the quantity by selecting the item.

  5. A new screen will pop up. Type the quantity and select Done

  6. Select Add to cart, and the item will now be in your customer’s order. There are a number of ways the by unit information will differ as it is displayed throughout your reports and online Square Dashboard.
