  • About timecard edits

As a team member, you can request edits to your timecards, add shift notes, and print workday summaries to make sure you are paid accurately for time worked.

    Before you begin

If you're a team member, make sure that you have a personal passcode as provided by your employer. If you do not have a passcode, talk to your employer to acquire one. You can find your personal passcode in your Square Team App.

You can do the following from the Square Team app:

If your employer has a Square Plus, Square Premium, or Square Shifts Plus subscription, you can also add shift notes from the Square Team app or the Square Point of Sale app. Team members need to have Shared points of sale access in their permission set. Learn how to create and edit permission sets.

    Request timecard edits

To help maintain the accuracy of your timecards, you can request changes to your timecards for past shifts through the Square Team App.

Until a request is approved or declined, you can’t make another edit request for that same shift; however, you can include multiple edits (like changing your clock-in time and adding a missing break) in one request. Edit requests expire after 30 days.

    1. Open the Square Team app and select Schedule.

    2. From here, select the appropriate time frame and select the shift you want to edit.

    3. Update the necessary information and select Request Changes.

    4. Account owners and managers will get a notification asking them to approve or decline the request.

    5. To cancel an existing edit request, select the shift you requested edits for in the Square Team App and select Cancel request.

    Add shift notes

You can add notes to your shift when clocking in or out to give more context into what happened during your shift, like someone arriving late or leaving early.

    Square Point of Sale app

    1. Open the Square POS app and tap Checkout > Clock In/Out.
    2. Enter your four-digit personal passcode or tap your badge on your point of sale device.
    3. Tap Clock in or End shift.
    4. Tap Add notes and enter any notes for your employer.
    5. Tap Save.

    Square Team App

    1. Open your Square Team App and tap Clock in or End shift.
    2. Tap Add note.
    3. Enter your note for your employer.
    4. Tap Save note.

    Print workday summaries

When clocking out of a shared point of sale, you can print your workday summary from a connected printer. Workday summaries include clock in and out times, breaks, and total paid hours. While breaks are listed on the printed workday summary, they aren’t displayed on the clock-out screen.

    1. From the Square Point of Sale app, select Checkout > Clock In/Out.

    2. Enter your four-digit personal passcode or tap your badge on your point of sale device.

    3. Tap End Shift.

    4. Below the workday summary, select Print.
