If you’re using Employee Management, your employees can clock in and out directly from the Square Point of Sale and Square Register app. You can manage your employees’ timecards from your online Square Dashboard.

Turn on Timecard Tracking

Log into the Square app and visit Settings > Employee Management > toggle Track Time from Point of Sale on.

If you’ve paired a device to a specific location, you’ll need to make sure your employees have permission to work in that location. To check, go to Employees in your online Square Dashboard, select the employee name to make sure the correct locations are selected.

Turn on Break Tracking

  1. Log into Timecards in your online Square Dashboard > Settings.
  2. Scroll to Break Settings > Add a break to add your first break.
  3. Add a name, duration, and select the compensation setting (paid or unpaid) for the break.
  4. Click Save to confirm the break settings.
  5. Add up to 3 breaks in total for each of your locations.

Manager Timecard Controls

From your online Dashboard, you can modify timecards, view time tracking reports, or clock employees out if they forget.

  • Export Activity: Export a Timecard Report as a CSV file with the employee name, location, and total hours worked.
  • Open Timecards: View timecards for employees who clocked in but haven’t clocked out. You can Clock Out employees here by selecting their timecard, clicking Clock Out, and entering their hours worked.
  • View Shift History: Create a new timecard or edit saved timecards.

Employee Clock In/Out

Before you can track employee hours, you’ll need to assign each employee a Point of Sale passcode so they can clock in and out of the app.

To clock in or out on a tablet, your employees can tap the clock icon in the bottom-right of the Square app. This button may also say Log Out XX if another employee is logged in to the app.

The clock icon in Square Point of Sale will display if employee management is enabled.

On a phone, employees need to follow the steps below:

  1. Tap: Three Horizontal Lines or the down arrow at the top of the Square Register: Register Switcher
  2. Tap Clock In/Out.

Note: Mobile cashiers signing in to the Square app with their own login will not be prompted to enter a Point of Sale passcode to clock in or out.

Starting a break

  1. To take a break on an iPad, tap the clock icon in the Checkout tab. On an iPhone, tap Clock In/Out from the navigation menu. If using Square Register, tap Clock In/Out in the upper-left corner.
  2. Enter your employee passcode.
  3. Select Start Break.
  4. Select the applicable break option to start break.

Ending a break

  1. To take a break on an iPad, tap the clock icon in the bottom-right of the Checkout tab. On an iPhone, tap Clock In/Out from the navigation menu.
  2. Enter your employee passcode.
  3. Enter employee passcode.
  4. Select End Break.
  5. Confirm to end break.
