Print and send receipts

About receipts

With every successful payment, you can provide customers with a printed receipt or send them a digital text message or emailed receipt. Each receipt reflects an itemized breakdown of both whole number and decimal quantities, discounts and applicable taxes. Receipts for declined payments are available for all major card providers and Interac payments.

You can print customer receipts directly from your Square Terminal or from a compatible printer connected to your Square Dashboard, Square app and Square hardware.

Before you begin

  • Receipts must be printed on a compatible receipt paper size. Learn to set up printer profiles.

  • Payment confirmations are sent to you after every successful transaction, and you can view payment details from Transactions in Square Dashboard.

  • You must connect a printer to your point of sale to print numbered customer stubs and sign and tip receipts. Learn to connect a printer to your point of sale.

  • To edit how a customer receives their receipt at the time of sale, have your customer tap the phone number or email address on the receipt screen to input their new contact information.

  • If your customer entered an email address to receive a receipt from a different Square merchant in the past, they may be opted in to automatic receipts. They won’t be asked to enter their contact information after a sale, and a receipt will automatically be sent to their preferred email address.

  • Ensure the Skip receipt screen is disabled on your device. Go to Settings > Checkout > Signature and receipt > Skip receipt screen > toggle OFF.

Print paper receipts 

You can print regular receipts, print gift receipts, or reprint receipts from the point of sale app. 

Print a regular receipt

  1. Complete the transaction by accepting your customer’s card, contactless payment or by recording another form of payment on the payment screen.
  2. If you print in-person order tickets from your point of sale, enter a customer name or order number, or the ticket number will be automatically assigned.
  3. Tap Print Receipt.

Print a gift receipt

You can print a gift receipt once a sale is complete. To do so:

  1. Open the point of sale app and tap Transactions.
  2. Locate and select the payment you want to print a gift receipt for.
  3. Tap Print gift receipt.

Reprint a receipt

  1. Open the point of sale app and tap Transactions.
  2. Locate and select the payment you want to reprint.
  3. Tap New Receipt > Print Receipt.

Print a declined payment receipt

When a payment is declined for any reason, you can print a receipt and share it with your customer as proof of failed payment. This setting can be enabled on a printer profile and assigned to multiple devices.

Enable declined payment receipts from Square Dashboard:

  1. Log in to your Square Dashboard and go to Settings > Device management > Profiles > Printer profiles to create a printer profile or edit an existing one.
  2. Enable Receipts and choose Automatically from the Print Receipts drop-down menu.
  3. Enable Print receipts for declined payments.
  4. Tap Save.

Enable declined payment receipts on Square Terminal:

Square Terminal features an internal receipt printer that doesn’t require a printer profile to manage.

  1. On your Square Terminal, tap More > Settings > Hardware > Printer.
  2. Tap Receipts and toggle Use this printer for receipts ON.
  3. Tap Print receipts and tap Automatically.
  4. Toggle Print receipts for declined payments ON.

If you are accepting payments on a Square Terminal that is connected to your Square app via a device code, you will adjust your receipt settings on your connected Square Terminal.

  1. On your connected Square Terminal, swipe your finger across the screen from left to right to open the menu.
  2. Tap Settings > Hardware > Printer.
  3. Tap Receipts and toggle Use this printer for receipts ON.
  4. Tap Print receipts and tap Automatically.
  5. Toggle Print receipts for declined payments ON.

Send and manage digital receipts 

Send a digital receipt

  1. Authorize a payment by processing your customer’s payment card or recording another form of tender on the payment screen.
  2. Have your customer enter their phone number or email address on the receipt screen.
  3. Tap Send from your point of sale.

Enable or disable digital receipts

The option to send digital receipts is automatically enabled in your point of sale app, but you can turn them off or back on. To do so:

  1. Tap More > Settings > Checkout.
  2. Select Signature and receipt.
  3. Toggle Skip receipt screen on or off.

Resend a digital receipt

Resending a receipt doesn’t affect a customer’s automatic receipt settings.

From the point of sale app:

  1. Select Transactions.
  2. Locate and select the payment you want to resend a receipt for.
  3. Tap New Receipt.

From Square Dashboard:

  1. Sign in to Square Dashboard and go to Transactions.
  2. Use the date selector tool to locate a specific payment.
  3. Select the payment you want to resend a receipt for and select Send Receipt.
