Manage Multiple Locations with Square

Square has tools for businesses of all sizes. Square offers free multi-location management features including linked locations and transfer options, per-location item libraries, device management for security and premium multi-location reports. You can also subscribe for additional team logins as needed.

Create and Edit Locations

If your business has multiple locations, you can manage everything right from your online Square Dashboard. You can create unique business profiles for each location with specific business hours and individual bank accounts or tags to differentiate transfers. You can also manage devices by location with Device Codes.

When viewing your online Square Dashboard, you’ll notice an orange or black bar at the top of some pages, this is to alert you that you are viewing location specific information.

Note: There is a 300-location limit per master account.

Note: The Create Location action cannot be undone. Once a location has been created, it can’t be deleted and will remain visible even if it’s been deactivated.

Create Locations

To create additional locations, visit Locations in online Square Dashboard and click Create Location. Once you add a new location, you cannot delete locations, but you can deactivate a location at any time. Inactive accounts will still be visible and can be reactivated at any time.

Add the following information about each location:

Business Name and Nickname

Choose a business name and nickname for your location. The business name appears on your customers’ card statements and digital receipts. If you don’t have a business name, describe your goods or services and city (for instance, “Massage therapy - Vancouver”). The nickname is an internal name for your location and won’t be seen by your customers.

Bio and Location Type

Enter a brief bio about your business. Short descriptions are effective and easy to remember. Select the location type: Physical Location for a physical storefront or Mobile Location if you don’t have a physical location. Use Mobile Location if you are a mobile business, selling online, shipping or delivery-only, or just to manage the additional settings.

Business Address

Enter your address and postal code. If you selected Physical Location, your business address will show on customer receipts. Mobile location addresses are hidden.

Contact Information

Enter your location’s email address and phone number. You can also add your social media channels and website here.

Branding

Your branding information applies to the look and feel of your receipts, invoices, appointment bookings and marketing. Add your logo by clicking + Upload Logo. The recommended size is at least 200x200 pixels for framed images and 1280x648 pixels for full-width images. Framed logos work everywhere in Square. Full-width logos can be displayed in large canvases like the header of a receipt or invoice.

To add a profile image for your Point of Sale background, click the image icon in this section. The profile image will appear in the background of your checkout screen in Point of Sale on devices associated with this location. The recommended size is 2328x1144 pixels.

Bank Information

Select the bank account to be used for transfers.

Note: All payments for this location will be transferred into the selected account.

Language

The language you choose for this location will be used in Square emails and customer receipts.

Match Item Library

If you want to match the item library from another location, select the location to match from the dropdown menu. Note: This action will reset the item library for the new location and cannot be undone.

Edit Location Information

You can edit locations at any time from Locations in online Square Dashboard. Just select the location, edit the information and click Save.

Bulk Assign Team Members to Locations

  1. Visit Account & Settings > Businessinformation > Locations in your online Square Dashboard.

  2. Select a location and scroll to Team Members > click the team member count for the selected location.

  3. Select individual team members or all team members, or filter team members by location and role. For example, select the Role filter > All Roles > Manager, then assign all existing team members with the Manager role to the location.

  4. Save.

Switch Between Locations

To switch between locations from the Square Point of Sale app:
1. From the navigation bar, tap More.
2. Select Switch location 
3. Choose the location you want to view.

Multi-location Item Management

Manage your items by location from your full access team member account. Items and item settings, including modifiers, discounts and taxes, can all be assigned to specific locations.

Assign Items to Specific Locations

  1. From the Items section of your online Square Dashboard, click Create Item or click an existing item.

  2. Select applicable locations and save your changes.

  3. If you add an item to a new location, check the current item settings (modifier set, discounts and taxes).

Multiple External Bank Accounts on File

You can link multiple external bank accounts to your Square account, so you can easily switch between bank accounts when sending your transfers across your business locations. If you’re managing multiple locations, linking multiple bank accounts also helps avoid sending your deposits to a closed bank account.

To link multiple external bank accounts to your Square account:

  1. From Account & Settings in your online Square Dashboard, click Bank Accounts.

  2. Under All locations, click the linked bank account next to the location of the bank account you want to update.

  3. From the drop-down menu, select the verified bank account you want to add to that location. If you do not see the bank account you want to link, select Add external bank account and proceed through the bank verification process.

  4. Click Update linked account > Done. Square will send a confirmation email to the email address associated with your account.

To confirm the change, you’ll need to click the link in the email within the next 24 hours or your new bank account will not be verified.

Note: You can only have one linked bank account per Square location at this time.
