Best Practices for the Deactivation of Your Square Account

If Square has given you notice that your account will be deactivated soon, you can find more information about the steps to take to secure your account information below.

Final Payment Balance

After 30 days, you will still have access to view your online Square Dashboard, but you will no longer be able to process any payment transactions using Square. Any funds remaining in your Square balance will be returned to your linked bank account.

  • Automatic transfers: If you receive automatic transfers, account deactivation will not affect your normal payment schedule.

  • Manual transfers: If you receive manual transfers, please contact our Square Support Team for more information.

While Square will no longer be processing your payments, you are free to contact alternative point of sale systems to process your payments.

If you have any questions or believe this has been a mistake, please visit our Terms of Service or directly reply to the email that you received from Square.

Export Your Payment History

We strongly advise that you download your payment history with Square for your records. You may need this information for tax purposes, future reference, or when applying for a bank loan or card terminal. To do so:

  1. Go to Money > Balance tab from your online Square Dashboard.

  2. Use the date selector to refine a date range. Click This Year or Last Year, then use the arrows to navigate between years. Note: Click the middle of the date-selector to see a full calendar view.

  3. Select All Locations, or manually choose locations to review.

  4. Click Export to download a CSV file to your computer, which you can open using Microsoft Excel or another common spreadsheet software.

Export Your Item Library

You’ll want to export your item library if you plan on creating a new inventory list with another point of sale system. It's also good to keep this information for your records. To do so:

  1. Go to Items & orders > Items from your online Square Dashboard.

  2. Click Actions > Export Library.

  3. You can export your item library into an Excel (.xlsx) or CSV file. A spreadsheet will download to your computer which you can open using Microsoft Excel or another common spreadsheet software.

Export Your Customer Directory

You can export your entire customer list directly from your online Square Dashboard. This may come in handy if you’ve been collecting customer information that you want to reference in the future. To do so:

  1. Go to Customers from your online Square Dashboard.

  2. Click Import / Export > Export Customers.

  3. Select the groups you’d like to export customers from. If a customer exists in multiple groups, they will only be exported once.

  4. Click Download.

A CSV file will download to your computer, which you can open using Microsoft Excel or another common spreadsheet software.

Square Hardware

Square Readers and third-party hardware or accessories are universal, so they don’t store any personal or account information and can be used with any Square account.

Square Readers are not linked to any specific account holder or bank account, nor do they need to be activated. Your personal information will not be compromised if you sell, recycle, or share your Square Reader between Square accounts.
