Set up calendar view filters for appointments
About setting up your calendar view
With Square Appointments, you can set up appointments attributes to display icons on your calendar. You can also customize specific views and use different filter options to quickly locate the appointments you need to.
View your calendar color coded by service instead of by the staff member assigned to each appointment. If there are multiple services for an appointment, the appointment will show multiple colors on your calendar. You can also view canceled appointments and set up a new client indicator.
Before you begin
You can set up your calendar view from your Square Dashboard or the Square Appointments POS app. Before you set up your calendar view, you need to set up your Square Appointments account. Learn how to set up your health & beauty business with Square and .
You have five options for displaying attributes on your calendar events:
Confirmed: Displays a check mark
Unconfirmed: Displays a question mark
Customer has service before (multi-staff): Displays an up arrow
Customer has service after (multi-staff): Displays a down arrow
New client: Displays a star and is only available from your Square Dashboard.
You have three options for customizing additional calendar view settings:
View canceled appointments
View calendar by service
View calendar with staff photos
To view your calendar color coded by service, you need to assign a color to each of your services. Learn how to create and manage services with Square Appointments.
You have five options for filtering your calendar view:
Range: Day, week, 5-day, and month.
Location: This view is only available if you use Square Appointments on multiple locations.
View: Only me, combined, and side-by-side.
Staff: This view is only available with the side-by-side filter.
Step 1: Set up appointment attributes
You can turn on/off different calendar attributes from your Square Dashboard or the Square Appointments POS app.
- Sign in to your Square Dashboard and click Appointments or Payments > Appointments.
- Click Calendar.
- Click the gear icon in the top right corner to open your calendar settings.
- Under Appointment Attributes, toggle ON/OFF the following attributes you want to display as icons on your calendar:
- Confirmed
- Unconfirmed
- Customer has service before (multi-staff)
- Customer has service after (multi-staff)
- New client
- Click Save.
The new client icon is based on the first booking a customer places and is only available for non-recurring appointments. If a customer cancels the first appointment, any following appointments they booked will not show the new client icon.
- Open your Square Appointments POS app and tap Calendar.
- Tap ••• in the top left corner to open your calendar settings.
- Scroll down to Appointments Attributes and toggle ON/OFF the following attributes you want to display as icons on your calendar:
- Confirmed
- Unconfirmed
- Service before (multi-staff)
- Service after (multi-staff)
- Tap Done.
You are only able to enable and view the new client attribute from your Square Dashboard.
Step 2: Customize additional calendar filters
You can enable your calendar view to show appointments by service or staff and show canceled appointments from your Square Dashboard or the Square Appointments POS app.
- Sign in to your Square Dashboard and click Appointments or Payments > Appointments.
- Click Calendar.
- Click the gear icon in the top right corner to open your calendar settings.
- Toggle ON/OFF the following options you want to display on your calendar:
- View canceled appointments
- View calendar by service
- View calendar with staff photos
- Click Save.
Appointments booked with multiple services will show multiple colors on your calendar.
Step 3: View and filter your calendar
You can view and filter your calendar from your Square Dashboard or the Square Appointments POS app.
- Sign in to your Square Dashboard and click Appointments or Payments > Appointments.
- Click Calendar.
- From the filter options at the top of the page, select the following:
- Range: Day, week, 5-day, and month.
- Location: This view is only available if you use Square Appointments on multiple locations.
- View: Only me, combined, and side-by-side.
- If you select the Side-by-side view, you can:
- Toggle ON/OFF Automatically select scheduled staff to view only the staff scheduled for the date range and location you selected above.
- Check the box next to the staff member(s) you want to view.
- Open your Square Appointments POS app and tap Calendar.
- Tap ••• in the top left corner to open your calendar settings.
- Scroll down to Calendar View and select day, week, or list.
- Under Employees, select the staff member(s) you want to view.
- Tap Done.
You are only able to select multiple employees if you are viewing your calendar by the Day from the Square Appointments POS app.
