Fulfill orders

Who is this article for?
Account owners or team members with the orders permission to manage orders. Set permissions in Square Dashboard.

About order fulfillment

Square Order Manager allows you to manage and fulfill all orders from various channels, including online and directly from your point of sale app.

Before you begin

  • You have multiple options for managing orders from Square Dashboard and the Square POS apps:

    • Search and filter: Easily locate orders by filtering based on order types, status, source, and payment source.

    • Sort: Organize orders by time created, fulfillment time, customer name, and order total.

    • Track: Monitor the entire order flow by viewing activity logs for each stage.

    • Update: Move received or manually created orders along the fulfillment flow by updating the status.

    • Bulk edit: Update the fulfillment status, close, or print multiple orders at once.

  • Before you fulfill orders, you need to set up your order settings. Learn how to set up Order Manager.

View order details

  1. Sign in to Square Dashboard and go to Payments & orders (or Payments & invoices or Payments) > Orders > All orders. From the Square POS apps, tap ≡ More > Orders or Orders.

  2. View the following details about your orders:

Order type

  • For here
  • To go
  • Pickup: Each pickup order will fall into one of the following fulfillment types to help you manage your orders at a glance — curbside, pickup or digital.
  • Delivery

Order status

Each order falls into one of the following fulfillment statuses:

  • All: View all orders in any status.
  • Active: All orders that need to be accepted, or orders in progress (i.e. not completed).
  • New: All orders awaiting action. If auto-printing is enabled on your Square POS app, new orders will print as they come in.
  • In Progress: Orders being prepared.
  • Ready: All orders ready for pickup (by customers or shipment carriers).
  • Completed: All completed or canceled orders.

Order source

In addition to the order status, you’ll also see a breakdown of orders by Source. For example, if you have active orders coming in from your website and third-party delivery partners, you’ll see both online ordering platforms listed.

If you do not have active orders for a particular platform, you will not see it listed. Orders will appear top-down, from newest to oldest.

Payment status

  • Awaiting payment
  • Completed, Paid
  • Canceled, Paid
  • Canceled, Unpaid

Activity log

An activity log displays important events that occurred throughout your order’s timeline. You can select an order and view the following events under Activity:

-Orders created

  • Payments received
  • Orders completed
  • Fulfillment state updates (in progress, ready, completed)
  • Items completed (fulfilled)
  • Items added
  • Items removed
  • Items updated
  • Refund issued

Update fulfillment status

Square Dashboard

  1. Sign in to Square Dashboard and go to Payments & orders (or Payments & invoices or Payments) > Orders > All orders.
  2. Locate the order to fulfill.
  3. Click (•••) next to ‘Status’ or select the order to open the information panel.
  4. Select Mark as… then select In progress, Ready, or Picked up. If there are multiple items in an order that aren’t available at the same time, tap Select items to coordinate.

Point of sale apps

  1. Open your app and tap ≡ More > Orders.
  2. Locate and tap the relevant order.
  3. Tap Mark as… and select In progress, Ready, or Picked up. If there are multiple items in an order that aren’t available at the same time, tap Select items to coordinate.

Bulk edit orders

Square Dashboard

  1. Sign in to Square Dashboard and go to Payments & orders (or Payments & invoices or Payments) > Orders > All orders.
  2. Click Edit orders.
  3. Select the relevant orders, then choose one of the following options: Mark as in progress, Mark as ready, Mark as complete, or Print.
  4. Click Done editing once you’re done.

Point of sale apps

  1. From the app, go to ≡ More > Orders.
  2. Tap Actions.
  3. Select the relevant orders.
  4. Choose one of the following options: Mark as in progress, Mark as ready, Mark as complete, or Print.
