Set up printer profiles

This article is for sellers who need to print materials such as receipts or tickets for their business. Printer profiles are required for printing.

To create a printer profile, you must enable team permissions to allow team members to configure hardware settings.

About printer profiles

Printer Profiles are printer settings shared across devices and locations. Printer Profiles can be created and updated on Point of Sale. Setting updates sync across all devices at the same location.

When creating printer profiles on your device, you can use printers to print:

  • Receipts: Print bills, reports and open cash drawers. You can choose to print receipts manually or automatically.

  • In-Person and Online Order Tickets: Send orders to prep stations. Order tickets will print automatically after checkout.

    • Single item per ticket: This setting overrides grouping items and automatically prints each item, ungrouped, on its own ticket.

    • Combine identical items: Items with the same details will be automatically combined to form one line item.

    • Print kitchen names: Items, variations or modifiers printed from this station will print with their kitchen names. Kitchen names can be set up on your online Square Dashboard.

    • Compact tickets: This setting removes the margin at the top of the ticket to reduce printer paper usage.

    • Categories to print: Order tickets include all items. You can create categories to specify which items to print on the order ticket.

  • Order Ticket Stubs: Give stubs to customers for their order. Order ticket stubs only print after an in-person order ticket is printed.

  • Void Tickets: Print out any dockets to physically record voided transactions.

  • Labels: Square for Retail can print out sticky labels for inventory purposes.

Before you begin

  • Make sure your printer is connected. If you haven’t connected your printer, learn more about setting up your printer.

Option 1: Create a new Printer Profile from Square Dashboard

  1. From your Square Dashboard > Settings > Devices > Printer Profiles.

  2. Create a profile.

  3. Add Profile name.

  4. Toggle the items you want to print with this profile depending on your needs: Receipts, In-person order tickets, Online order tickets, Order ticket stubs and Void tickets.

  5. Location - by default, printer profiles are available across all locations. You can also choose to have them show only at specific locations.

  6. Click Save.

Currently, you cannot assign printers from Square Dashboard. You can only create, edit, and delete printer profiles from Dashboard, and will still need to assign the printer on a device.

Option 2: Create a new Printer Profile from Square Point of Sale App

  1. From your Square Point of Sale App > More > Settings > Hardware > Printers.

  2. Tap Profiles tab if it has not already been selected.

  3. Tap Create profile.

  4. Add Profile name.

  5. Toggle the items you want to print with this profile depending on your needs: Receipts, In-person order tickets, Online order tickets, Order ticket stubs and Void tickets.

  6. Location - by default, printer profiles are available across all locations. You can also choose to have them show only at specific locations.

  7. Tap Save.

  8. After creating a printer profile you will have the option to connect a printer, or connect later.

You will then need to manually assign a connected printer to the printer profile on each device. While devices share printer profiles, a specific printer-to-profile connection is made locally on the device.
