Printer Profiles

Printer Profiles are printer settings which are shared across devices and locations. Printer Profiles can be created and updated on Point of Sale. Setting updates sync across all devices at the same location. Printer Profiles will replace Printer Stations. However, you will continue to have access to view and edit their existing Printer Stations or migrate existing printer stations so they can be edited remotely when needed. You will need to ensure that your device and Square Point of Sale app are up to date.

Convert Printer Stations to Printer Profiles

Besides having the option to view and edit your existing Printer Stations, we recommend converting your current Printer Stations to Printer Profiles. 

Converting your Printer Stations to Printer Profiles will allow you to edit your printer settings from any device using Square Point of Sale, Retail Point of Sale and Restaurants Point of Sale. To convert your Printer Stations:

  1. From your Square Point of Sale App, tap ≡ More > Settings > Hardware.

  2. Tap Printers.

  3. Tap the Device you would like to migrate.

  4. Tap Profile > Change > Convert to profile. 

Add a Printer 

Before creating a new printer profile, you’ll need to connect your printer first. Before following the steps below, ensure that your printer is on. For USB and Ethernet printers, make sure your devices are connected prior to following the steps below.

Connect to AirPrint printer

  1. From your Square Point of Sale App, tap ≡ More > Settings > Hardware.

  2. Select Connect AirPrint printer and choose your printer.

  3. Tap Save.

Connect to a printer using Bluetooth

  1. From your Square Point of Sale App, tap ≡ More > Settings > Hardware.

  2. Select Printers.

  3. Select Connect to Bluetooth Printer.

  4. Tap Select Printer.

  5. Follow the steps on how to connect a Bluetooth printer.

    1. Turn the printer on.

    2. Go to your device’s Settings > Bluetooth > toggle Bluetooth on.

    3. Select the printer.

    4. If prompted for a PIN, enter 1234.

    5. Return to the previous page.

  6. On the printer end turn on Bluetooth.

    1. Select your device.

    2. A Bluetooth pairing request will appear.

    3. Tap Pair.

  7. Once your printer is paired, return to your device the “Printer Connected” message will appear.

  8. Add a Printer name.

  9. Next, you will have the option to assign a printer profile or create one later.

Connect to a printer using a Static IP Address (iOS only)

  1. From your Square Point of Sale App, tap ≡ More > Settings > Hardware.

  2. Tap Printers.

  3. Select Connect Printers.

  4. Tap Select Printer > Advanced Printer setup.

  5. Select the type of printer you want to add.

  6. Enter the IP address for your printer.

  7. Tap Done and it will start searching for the printer.

  8. After a printer is found tap Done.

  9. Add a Printer Name.

  10. Tap Save.

Create a Printer Profile

Create a new Printer Profile from Square Dashboard

  1. From your Square Dashboard > Settings > Devices > Printer Profiles.

  2. Select Printer Profiles > Create a profile.

  3. Add Profile name.

  4. Toggle the items you want to print with this profile depending on your needs: Receipts, In-person order tickets, Online order tickets, Order ticket stubs and Void tickets.

  5. Select store locations in the drop down menu. By default, printer profiles are available across all locations. You can also choose to have them show only at specific locations.

  6. Click Save.

Note: Currently, you cannot assign printers from Square Dashboard. You can only create, edit, and delete printer profiles from Dashboard, and will still need to assign the printer on a device.

Create a new Printer Profile from your Square Point of Sale App

  1. From your Square Point of Sale App > More > Settings > Hardware. 

  2. Tap Printers.

  3. Tap Profiles tab if it has not already been selected.

  4. Tap Create profile.

  5. Add Profile name.

  6. Toggle the items you want to print with this profile depending on your needs: Receipts, In-person order tickets, Online order tickets, Order ticket stubs and Void tickets.

  7. Select store locations in the drop down menu. By default, printer profiles are available across all locations. You can also choose to have them show only at specific locations.

  8. After creating a Printer Profile you will have the option to connect a printer, or connect later.

After Printer Profiles are created, they will be available on POS within a few seconds on all active devices or when a device becomes active.

You will then need to manually assign a connected printer on each device to the printer profile. While the printer profile is shared between devices, a specific printer to profile connection is done locally on the device.

Note: Printer Profiles will replace Printer Stations. However, you will continue to have access to view and edit your existing Printer Stations.
