Customise Square Invoices and Receipts

You can customise the appearance of your invoices and customer-facing receipts from your online Square Dashboard. If you have multiple locations, you can customise your receipt and invoice appearance for each location.

To do so from your online Square Dashboard:

  1. Go to Account & Settings.

  2. Click Business information > Receipt.

Note: The appearance of both invoices and digital receipts is managed from this page. Descriptive receipts and invoices help customers recognise purchases and prevent disputed payments.

Customisation Options

Logo Select a unique graphic that embodies your business.
Brand Color Select a color that best represents your business.
Item Information Include item descriptions to help customers remember purchases.
Business Location Help customers remember where a purchase was made by including your business address.
Contact Information Add your phone number and website URL.
Return Policy Add your refund, exchange, or cancellation policy.
Custom Text Enter custom messaging to include announcements or special promotions.

Note: Business-location maps will not appear on receipts from manually entered payments, and return policies will not appear when you send invoices.

The process for customising invoices differs from receipts and can be done from different sections of your online Square Dashboard.

Invoice Customisation with Templates

You can also customise your invoices with invoice templates or set a default template to use when creating a new invoice. Invoice templates automatically fill in your invoice information. With each unique template that you create, you can:

Customise basic details

Add an invoice title and message that will be visible to your customer. You can also include an optional sale or service date on your invoices.

Save a default custom message

Add your terms of service, cancellation policy, return policy or any other personalised message to your customised invoice in the Message field of your invoice.

Choose your payment settings

Pick your default payment settings for your invoices, such as setting your accepted payment methods, using card on file with a Square Invoice and adding a tipping option.

Add item-level notes

Add your item, select Customise and go to the Note section. Make sure that you click Save once you’ve selected your price point and taxes and added your note.

Share your invoice

Choose how you’ll send your invoice to your customers – via email or manually. You can also schedule payment reminders for your customer.

Add custom fields

With Invoices Plus, you can add a custom field – such as terms of service, cancellation policy, return policy or any other personalised message – to your invoice and choose its placement within the template. Note: This is a Square Invoices Plus feature.

Receipt Logo Tips

  • Your logo should be at least 200 pixels wide and 200 pixels tall. If you choose a full logo, it should be at least 1280 pixels wide and 648 pixels tall to view in high resolution.

  • The maximum size of the printed logo is 400 pixels wide and 200 pixels tall.

  • Framed logos work everywhere in Square. Full-width logos can be displayed on large canvases like the header of a receipt or invoice.

  • A printed receipt logo should be formatted as strictly black and white, without any colour or shades of grey.

  • The logo image displayed on your Dashboard will look similar to your printed logo.

  • You can customise your receipt logo for each business location in the Locations tab of your online Square Dashboard.

Set Receipt Language

You can also control your customer communication language from your Square Dashboard. To choose the language:

  1. Go to Settings > Account & Settings > Business information > Locations.

  2. Click the location that you want to edit.

  3. Scroll to the Preferred Language option for Receipt.

  4. Select the desired language and click Save.

Update Your Reply-To Email Address

When a buyer replies to an invoice or estimate email, make sure that the message is sent to your preferred email address. To change your email address from your online Square Dashboard:

  1. Go to Account & Settings > Business information > Locations.

  2. Click the location that you want to edit.

  3. Under Contact Information, update your preferred email address for that location. You can also add your social media channels here.

  4. Click Save.
