Schedule inventory restocks

  • Account owners or team members with item and inventory permissions to update item availability, modifier availability and stock counts on your point of sale. Set permissions in the Square Dashboard.
  • About scheduling automatic restocks

    Automatic inventory restocks allow you to set a specific day and time for the items marked as sold out to automatically restock, or use your business’s end of day to keep your stock counts accurate and up to date.

    Before you begin

    You have two options for scheduling inventory restocks:

    • Schedule an inventory restock from the Square Dashboard on a laptop or desktop computer

    • Schedule an inventory restock from your point of sale app and devices

    Make sure you’ve created at least one item in your item library before scheduling an inventory restock. Learn more about how to create and edit items with Square.

    You can only schedule restocks for items which have been marked as sold out in your item library. Learn how to set up inventory tracking.

    Schedule inventory restocks

    Effective scheduling of inventory restocks ensures that products are consistently available to meet customer demand while optimising storage and reducing costs.

    Schedule an inventory restock for an item without variation

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items > Item library.
    2. Click the status pill next to the item you want to schedule a restock for.
    3. In the availability popover/modal, select Sold out.
    4. Toggle ON Choose a time to reset to available.
    5. Choose to keep the restock scheduled for the end of your business day or use the date selector to choose a custom date and time.
    6. Click Save.

    Schedule an inventory restock for an item with variations

    1. Sign in to Square Dashboard and go to Items & menus (or Items & inventory) > Items > Item library.
    2. Click the status pill next to the item you want to schedule a restock for.
    3. In the availability modal, select the variation you want to update.
    4. Select Sold out.
    5. Toggle ON Choose a time to reset to available.
    6. Use the date selector to choose a custom date and time.
    7. Click Save.

    Set up a negative stock warning

    1. Open the Retail POS app and tap ≡ More from the navigation bar.

    2. Tap Settings > Checkout.

    3. Tap Negative stock warning and toggle on Show warning.
