Adding file attachments to customer profiles enables you to keep records, contracts, documents, and photos in one place, ensuring easy access and organization. In addition, you can add time stamped notes and reminders to your customer profiles to revisit, ensuring you follow up on important matters and maintain ongoing customer engagement. Overall, these features contribute to a more efficient customer relationship management system, enhancing your ability to serve and retain customers.
Before you begin
You can add attachments from Square Dashboard or the Square POS apps. Keep in mind the following requirements and recommendations when adding attachments:
Do not upload files containing illegal content or sensitive confidential information, including personal health information or payment card information.
Square supports the following file types for attachments: PDF, JPEG, JPG, GIF, and PNG.
Files can be up to 20MB.
A customer profile can contain up to 100 files.
Make sure you've created at least one customer profile in your Customer Directory before adding an attachment to a customer profile. Learn how to add new customers to your Customer Directory.
Add a file attachment
You can include file attachments in your customer profiles to maintain a thorough documentation trail, provide better customer service, and quickly retrieve information when needed.
- Sign in to Square Dashboard and go to Customers > Customer directory.
- Select an existing customer profile or create a new profile.
- Scroll down to ‘Notes and files’ and click Add > Add file.
- Drag and drop your file or select it from your laptop or desktop.
- Click Upload File.
Once your file is uploaded, you can rename, download, preview, or delete it by clicking (•••).
- Tap ☰ More > Customers.
- Select an existing customer profile or create a new profile.
- From the ‘Notes and files’ section and tap Add > Add File.
- Choose to either Upload photo from your device photo gallery or to Take photo.
A “File added” banner will appear when your file is uploaded. You can rename or delete your file by tapping View > •••.
Add a note or reminder
You can add notes and reminders to customer profiles to track interactions and updates, improving communication and accountability. Setting reminders ensures follow-ups and ongoing engagement. Reminders trigger push notifications on the Square POS app and email notifications to the email address associated with your Square account.
- Sign in to Square Dashboard and go to Customers > Customer directory.
- Select an existing customer profile or create a new profile.
- Click (•••) > Add Note.
- Scroll down to ‘Notes and files’ and click Add > Add note.
- Add your text to the Note field.
- Set an optional reminder using the default times, or by adding a custom date and time.
- Click Save.
Once your note and reminder are added, you can edit or delete them by clicking (>) to the right of the note.
- Sign in to your Square POS app and tap ≡ More > Customers.
- Select an existing customer profile or create a new profile.
- Scroll down to ‘Notes and files’ and tap Add > Add note.
- Add your text to the Note field.
- Tap (•••) > Add reminder if you’d like to set a reminder. Set the date and time, then tap Add.
- Tap Save.
Once your note or reminder is added, you can edit or delete them by tapping on the note. To edit, make changes in the note field then tap Save. To delete, tap the note > (•••) > Delete > Delete to confirm.
