Sync Square Payroll with QuickBooks Online

    You can save time and simplify your bookkeeping by syncing Square Payroll account data with Intuit QuickBooks Online.

    Before you begin

    In order to Sync QuickBooks, you’ll need to have your Square Payroll account already set up. Learn how to set up Square Payroll.

    Sync your payroll with QuickBooks Online

    1. Sign in to Square Dashboard and go to Staff > Payroll.

    2. Select Settings > Intuit QuickBooks Online.

    3. Click Connect. If you’re not already logged in to QuickBooks Online, log in using your QuickBooks Online login credentials.

    4. Click Authorize.

    5. Map each Square Payroll category to a corresponding QuickBooks Online category. By default, Square Payroll subcategories are combined and reported with their parent categories (for example, Report with Employee earnings). If you’d like a subcategory to be reported as a separate line item or reported in a different QuickBooks Online category, use the dropdown menu to select the desired category.

    6. When all categories have been mapped, click Save.

    By default, Square Payroll data will automatically be sent to QuickBooks, but this can be disabled at any time and switched to manual. If it’s been set to manual, you can send each pay period data by going to the History tab of your Square Payroll dashboard, selecting the pay period you wish to send, and clicking Send to QuickBooks Online.

    Edit your category mapping

    1. Sign in to Square Dashboard and go to Staff > Payroll.

    2. Click Settings > Intuit QuickBooks Online.

    3. Click Edit to update your category mappings.

    4. Click Save.

    Disconnect QuickBooks from your payroll account

    1. Sign in to Square Dashboard and go to Staff > Payroll.

    2. Click Settings > Intuit QuickBooks Online.

    3. Click Edit > Disconnect.

    4. Click Confirm.
