Set up team member badges

  • About team member badges

    Team members can use physical badges to access the point of sale with their permissions, complete transactions, and clock in and out for their shifts. Using badges alongside a four-digit passcode adds an additional layer of security for both your business and your team.

    Before you begin

    • To pair your badges, make sure you ordered and have your badges in hand. You can order team member badges from our vendor partner.

    • Team members can only have one active badge paired to their profile, but can still use a four-digit passcode to sign in and clock in and out if they have a badge. Team members cannot use badges to access the Square Team App.

    • Supported point of sale devices for activating and using badges include Square Stand, Square Register, and the Square Reader for contactless and chip.

      • You can also connect the Square Reader for contactless and chip with the Square Register via a cable, which will allow your team members to use a badge without using the customer-facing display. This will only work for badges, and will not work to take payments.

      • Badges are not compatible with Square Terminal.

    • To pair a badge with a Square POS app, you must have a Square Reader connected wirelessly to your device. Learn how to set up Square Reader for contactless and chip.

    Pair a badge for your team

    Once you have your badges, you’ll need to set up your team members with badge access at your point of sale. You can pair badges from your Square Point of Sale app.

    1. From your Square Point of Sale app, select More > Team

    2. Select a team member’s name. If you need to create a new team member, select + and fill out their profile information. 

    3. Within the Security section of their profile, toggle on Team member badge

    4. Follow the on-screen prompts to pair a badge, which requires tapping the badge on your device twice. Once the badge is activated, you’ll see a confirmation message on your screen and you can close the window.

    5. Select Save and give the badge to the team member. Repeat these steps for any other team members you want to provide an active badge.

    Once they receive an activated badge, team members can tap their badge on your point of sale device when presented with a passcode screen to sign in. Team members can see confirmation they are signed in and can also select Clock in on the screen to track their hours.

    Deactivate a team member badge

    If your team member loses their badge, you can unpair the lost badge and pair a new badge or revert their access back to just a four-digit passcode. For team members that leave your business, deactivating their profile will automatically deactivate their badge and remove access to your point of sale. Learn how to add and manage team members.

    You can deactivate badges from your Square Dashboard or your Square Point of Sale app.

    Square Dashboard

    1. From your Square Dashboard select Team.
    2. Select the team member name whose badge you want to deactivate. You’ll see an active badge for the employee within the Permissions section of their profile.
    3. For Team member badge, select Remove.
    4. On the notification screen, select Remove team badge.

    Square point of sale

    1. From your point of sale app, select More > Team.
    2. Select the team member name whose badge you want to deactivate. You’ll see an active badge for the employee within the Security section of their profile.
    3. Next to Team member badge, select Remove.
    4. On the notification screen, select Remove team badge.

    The passcode assigned to this employee is now the only method they can use to sign in and clock in at the Square Point of Sale app. Deactivated employees are not able to use a four-digit passcode to sign in or clock in and out.
