Print checks with Square Payroll

    With Square Payroll, you have the option to pay your employees via direct deposit or manual check. If you select a manual check as your payment method when running payroll, you can print your employee checks from your payroll history.

    For W-2 employees, Square Payroll calculates and withholds taxes, and shows you the exact amount to pay your employee(s) if you choose to write checks manually. You can then manually write a personal or business check to your employee for the amount due. Each pay period, you’ll receive an email notification from Square with a list of employees requiring payment via check and the net amount for each check.

    Before you begin

    You can print checks from your Square Dashboard.

    Square Payroll also partners with Checkeeper to provide Square Payroll subscribers with the option to pay your team with printed, physical checks mailed to your business overnight. Checks are mailed with your bank account information, business details, and shipped off via USPS or UPS next-day. You can sign up for Checkeeper or learn more about connecting your Square Payroll account with Checkeeper from the Checkeeper website.

    Print paychecks

    With Square Payroll, you can print paychecks on check stock type DLT104. The check stock needs to be customized with your business and bank information. This information will not be included on the PDF generated by Square Payroll.

    1. Insert check stock type DLT104 into your printer.

    2. Sign in to your Square Dashboard and select Staff & Payroll > Payroll > History.

    3. Select the pay period of the pay stubs you want to print checks for.

    4. Select Print All Checks or select an individual pay stub to print a single check.

    5. A PDF file will download. Open the PDF file and print.

    6. After you finish printing, sign & deliver paychecks to your employees and/or contractors.

    Change payment method to a check for past payroll run

    If you already processed payroll, you can cancel an upcoming direct deposit pay stub and convert the pay to a manual check. You have until 9 AM PT the business day prior to payday to change a direct deposit paycheck to check. You can adjust this payment method from your Square Dashboard. 

    1. Sign in to your Square Dashboard and select Staff & Payroll > Payroll > History.

    2. Select the pay period of the pay stub you want to access.

    3. Select Change to Check next to the team member’s name. To confirm the change, select Change to Check to cancel the upcoming direct deposit.

    Write or print a check for the team member. This option will only appear if the team member has not opted to receive the funds early or via Cash App.
