Edit, merge, or delete customer profiles

Account owners or team members with the customers permission to access Customer Directory. Set permissions in Square Dashboard.

About editing, merging, or deleting customer profiles

You can update or modify information about a customer stored in your Customer Directory, combine duplicate or multiple customer records that belong to the same individual into a single profile, or permanently delete a customer's record from your Customer Directory.

Duplicate records may incorrectly increase the total number of customers in your directory, and lead to increased pricing for Square Marketing subscriptions. We recommend you review your directory periodically to ensure no duplicates exist.

Before you begin

  • You can edit, merge, or delete customer profiles in Square Dashboard and your point of sale app.

  • Merging two customer profiles also merges any files attached to them.

  • Carefully review profiles being merged. A merge can't be undone.

If you or an employee accidentally deleted a customer profile within the last 30 days, please contact Square customer support to undo this action.

Customer profiles information

Customer profiles are organized into the following sections based on a customer's purchase history:

  • Buyer summary: View customer details, including their average spend, total visits, and frequency.

  • Personal information: View name, phone number, and email address.

  • Marketing: View Subscribed or Not subscribed email status.

  • Payment on file: View stored customer payment card information.

  • Notes and files: View or add timestamped notes and set reminders for yourself. Upload files and photos to your customer’s profile to keep any relevant documents in one place

  • Loyalty: View customer’s status and activity, along with the ability to adjust stars, manage linked cards, and update their loyalty phone number.

  • Invoices & estimates: View draft, outstanding, or paid invoices and estimates. You can also create or view invoices and estimates from the customer profile.

  • Appointments: View upcoming and past appointments, along with the ability to book future appointments for a client.

    • Appointment Notifications: View Email and/or Text Message.

    • Blocked from online booking: View status as Yes or No.

  • Activity: View the customer’s activity at your business, including purchases, Feedback sent about your business, Square Loyalty activity earned, and Square Marketing campaigns received.

Edit a customer profile

Square Dashboard

  1. Sign in to your Square Dashboard, then click Marketing & loyalty > Customer directory > Directory.
  2. Select an existing customer profile.
  3. Click Edit.
  4. Make any necessary changes and click Save.

Point of sale app

  1. Sign in to your point of sale app and tap ☰ More > Customers.
  2. Tap a customer’s name to view their full profile.
  3. Tap Edit.
  4. Make any necessary changes and tap Save.

Fix duplicate customer records

  1. Sign in to your Square Dashboard, then click Marketing & loyalty > Customer directory.

  2. You'll receive an alert notifying you there may be duplicate entries if multiple records exist with the same email address or phone number within the All Customers group.

  3. Click Duplicate Suggestion to review the entries flagged as duplicates.

  4. You can choose to ignore entries that aren't duplicates, or click Merge or Merge All to combine confirmed duplicates.

Merge duplicate customer profiles

Square Dashboard

  1. Sign in to your Square Dashboard, then click Marketing & loyalty > Customer directory.
  2. Click the duplicate customer profile.
  3. By the customer’s name, click ••• > Merge customer, then search and select the profile you’d like to merge.
  4. Click Merge.

Point of sale app

  1. Sign in to your point of sale app and tap ☰ More > Customers.
  2. Tap the duplicate customer profile.
  3. By the customer’s name, tap ••• > Merge Customer, then search and select the profile you’d like to merge.
  4. Tap Merge.

Delete a customer profile

Square Dashboard

  1. Sign in to your Square Dashboard, then click Marketing & loyalty > Customer directory.
  2. Click a customer’s name to view their full profile.
  3. Click (•••) > Delete customer.
  4. Read the confirmation and click Delete to continue.

Point of sale app

  1. Sign in to your point of sale app and tap ☰ More > Customers.
  2. Tap a customer’s name to view their full profile.
  3. Tap (•••) > Delete customer or tap Edit > Delete.
  4. Read the confirmation and tap Delete to continue.
