About completing orders with Square KDS

Square Kitchen Display System (KDS) can help you organise and fulfil orders to maximise the number of items passing through your kitchen.

Before you begin

You have two options for completing orders from your Square KDS app:

  • Complete a single item on a ticket

  • Complete the whole ticket at once

If you accidentally complete a ticket or need to remake an item on a ticket, you can recall the ticket.

Before you can receive and complete orders or recall tickets on Square KDS, make sure you set up your KDS device and order routing. Learn how to set up Square KDS, and how to route orders to the kitchen with Square KDS and Square for Restaurants

Complete orders

When you complete a ticket/item from a device that completes on all stations:

  • Prep device: The ticket/item completes at all other prep devices, but not Expo devices. Note: Expo devices show a grey dot next to the item(s) completed.

  • Expo device: The ticket/item will complete at all other Prep and Expo devices.

When you complete a ticket/item from a device that only completes on that individual device:

  • The ticket/item completes for that specific device, regardless of whether it is a Prep or Expo station.

  • Note: The grey dot for an item on an Expo device will not show up until the item has been completed by at least one Prep station at that location.

Recall tickets

When you recall a ticket from a device that completes on all stations:

  • Prep device: The ticket recalls at all other Prep devices, but not Expo devices.

  • Expo device: A prompt pops up with the following options to choose from:

    • Recall on all Prep and Expo devices which will recall the ticket at all devices at that location

    • Only on all Prep devices which will recall the ticket at all Prep devices but not at Expo devices at the location.

When you recall a ticket from a device that completes only on that individual device:

  • The ticket recalls only for that specific device, regardless of whether it is a Prep or Expo station.

Complete orders or recall tickets from the Square KDS app

Both Prep stations and Expo stations have the ability to mark single items or whole tickets as complete.

Complete a single item on a ticket

  1. Open your Square KDS app.
  2. Tap the item directly on the display.

If you selected the wrong item by accident, tap that item again to deselect. You only have three seconds to undo the item completion.

Complete the whole ticket at once

  1. Open your Square KDS app.
  2. Tap the top banner of the ticket you want to complete.

If you selected the wrong ticket by accident, tap that ticket again to deselect. You only have three seconds to undo the ticket completion. After that, you can view the ticket in the Completed tab.

Recall the whole ticket

  1. Open your Square KDS app.
  2. Tap Recall at the bottom of the ticket in the completed view.
  3. The ticket will now appear in the open tab again.

Note: If you have the Automatic Order Update feature enabled on your Expeditor station, recalling a completed ticket will not remove the ticket from Ready status on third-party platforms. Order statuses will automatically update to Ready when the ticket(s) for a specific order is completed on at least one Expo device for that location.
