Reintroducing Square Point of Sale

Overview

Thanks to feedback from Sellers across the globe, Square Point of Sale is now better than ever. The user interface that you’ve come to know over the years has gone through a few key changes to make your day-to-day business easier to manage. With added features throughout the redesigned checkout and navigation flows, you’ll be able to accomplish more each day and watch your business grow.

What’s New?

Along with the addition of the new Settings redesign, the Square app has been transformed to simplify the way you interact with your point of sale. To start, the Keypad, Library and Favourites sections have moved from the bottom of the screen to the top of the screen for iOS devices, Android devices and Square Terminal. The option to add a customer to your sale is now seamlessly integrated into your checkout, as well. You can also easily manage your balances, reports, invoices, items, customers, orders and settings through the More menu to ensure your business runs just the way you like it to – smoothly and efficiently. While it’s not currently available, the ability to customize the navigation bar to include more options specific to your business will appear in the future.

In addition to navigational changes, Sellers using the Square Point of Sale app on a mobile device or Square Terminal will have the ability to create an item grid through the Favourites section of the Checkout screen. The feature, which has historically only been available to Sellers using iPads and Android tablets, allows Sellers to add frequently used items and categories (as well as gift cards, rewards and discounts) to their main Checkout screen for ease of use. Now the workflow that was previously limited to a specific set of devices can be easily used across whatever device Sellers and Team Members use to take payments.

Note: These changes are rolling out gradually across all device types, starting with iOS and Android devices, and followed by Square Terminal.

Getting Started

Before you get started, make sure you’ve downloaded the most recent version of the Square Point of Sale app on a compatible smartphone or tablet. Once you’ve downloaded the app, simply sign in using the email address and password associated with your Square account, or a device code.

Note: If you’re using Square Terminal, you’ll need to make sure the software is up to date prior to utilizing the new features. Learn more about updating your Square Terminal.

Opt In/Opt Out

In order to upgrade to the newly redesigned Square Point of Sale, you’ll navigate to the in-app Settings menu by tapping the More icon at the bottom of the screen. From Settings > Checkout, tap Upgrade to the new Square Point of Sale to implement the changes to your point of sale.

You can revert back to the original Square Point of Sale for a limited time by visiting the same section and clicking Revert to previous experience.

Taking Payments

While there are some slight changes to the checkout experience, all of the same features you’ve come to expect from Square are still in place. Whether you’re using the Keypad to enter a dollar amount, or choosing items from your Item Library or Favourites pages, you’ll still have the ability to quickly and easily take transactions at any time. With the ability to add customers directly from the checkout flow, you can also start to build your customer base with each sale – and keep them coming back with products like Square Loyalty.

Note: If you’d prefer to remove the option to add a customer directly from the checkout flow, visit More > Settings > Checkout > Customer management > toggle Collect Before Checkout off.

After logging in to the Square Point of Sale app, you’ll see the Keypad you’re familiar with for entering dollar amounts, as well as your Item Library and any other Favourites pages you’ve created in the past. To add a new Favourites page, simply tap the “•••” button on the Checkout screen and start to add items, categories, discounts and more. To rename your Favourites page(s) to something else (e.g. Drinks, Food, Merchandise, etc.), tap the pencil icon next to the name of the Favourites page during creation. Once you’re familiar with the updated layout, you can start the checkout process.

Taking Payments on a Tablet

  1. From the Checkout screen, enter a dollar amount via the Keypad, or select an item from your Library or Favourites page(s).

  2. Confirm your transaction details under Current sale when using the app in Landscape mode (horizontally), or tap Review sale when using the app in Portrait mode (vertically).

  3. From the Current sale screen, add a customer or discount if applicable, and either tap the Charge button to move forward or the Save Ticket button to save the sale for a later time.

  4. Once you’ve tapped the Charge button, swipe, insert or tap your customer’s card (or mobile device if they’re using funds from their digital wallet), or manually enter their card information if they’re not with you in person.

  5. Once your customer has been charged, they’ll have the option to receive a receipt by email or text message, or no receipt at all. Note: If you’re using Square Loyalty and have the appropriate settings enabled, your customer will see the option to enrol in your Rewards program.

Taking Payments on a Mobile Device or Square Terminal

  1. From the Checkout screen, enter a dollar amount via the Keypad, or select an item from your Library or Favourites page.

  2. Tap Review sale on the Checkout screen to view the Current sale.

  3. From the Current sale screen, add a customer or discount if applicable, and either tap the Charge button to move forward or the Save Ticket button to save the sale for a later time.

Open Tickets

Depending on your business type, you may have the need to save your customers’ orders for a later time. Whether they’re shopping around or dining in, it’s important to meet your customers where they are during their time with you. You can do exactly this by using Open Tickets – where you can create, edit and save an order before completing the sale, on any compatible device.

You can enable Open Tickets by visiting the navigation bar at the bottom of your app screen and tapping More > Settings > Open Tickets. From here, toggle Open Tickets on. By enabling Open Tickets, you’ll be able to view, manage and complete them directly from the Tickets button on your main Checkout screen, across all devices.

If you’re using an iOS or Android tablet, or Square Terminal, you’ll see two additional options – Use Open Tickets Menu as Home Screen and Use Predefined Tickets – that can be used to customize the way you and your team interact with Open Tickets. By toggling on Use Open Tickets Menu as Home Screen, you’ll return to the tickets menu after each completed transaction. Toggling on Use Predefined Tickets will give you the option to create ticket groups, reuse ticket names, specify the number of open tickets per group and access ticket group reporting from your online Square Dashboard.

Refunding Payments

We understand that not every sale may work out in the long run. With a few simple clicks, you can easily refund your customers directly from Square Point of Sale. Choose the item(s) in question or provide a specific amount to send back to your customer and they’ll receive their funds to their original form of payment. You’ll also have the option to refund to a Gift Card to use the next time they visit your business.

Refunding Payments on a Tablet

  1. From the Transactions screen, select the transaction that needs to be refunded, swipe to search by payment card or search by full card number, phone number, customer name, receipt number, notes or item in the search bar.

  2. From the transaction details screen, tap Issue refund.

  3. Select the item(s) that needs to be refunded or tap Amount to refund a specified amount > tap Next.

  4. Select a reason for refund and confirm the original payment method with your customer or tap Add Gift Card or Swipe to refund to a Gift Card.

  5. Tap Refund > Done.

Once the refund is complete, you’ll be sent back to the transaction details screen. If your customer would like a receipt for their refund, simply tap New receipt and enter their email address or phone number.

Creating Items

Item creation and management is a breeze with the redesigned Square Point of Sale app. Whether you’re just getting started or already have an item library set up, you can easily create items, categories, modifiers, discounts and more to ensure the checkout process is smooth for both your customers and your team members who use the point of sale daily. Note: Bulk item importing and exporting is still available through your online Square Dashboard in case you need to create/manage large amounts of items at any time.

Creating Items on a Tablet

  1. From the Square Point of Sale app, tap More from the navigation bar > select Items.

  2. Under the All Items section, tap Create Item.

  3. Fill out all applicable item information like Name, Category, Price, Description, etc.

  4. Tap the item tile near the top of the screen to set a label colour or take/upload a photo > tap Done.

  5. Click Save.

Note: If you’re using the Item Grid, you can also create an item by tapping on an empty tile and selecting Create Item.

Creating Items on a Mobile Device or Square Terminal

  1. From the Square Point of Sale app, tap More from the navigation bar > select Items.

  2. From the All Items section, tap Create Item.

  3. Fill out all applicable item information like Name, Category, Price, Description, etc.

  4. Tap the item tile near the top of the screen to set a label colour or take/upload a photo > tap Done.

  5. Click Save.

Note: If you’re using the Item Grid, you can also create an item by tapping on an empty tile and selecting Create Item.

Managing and Creating Orders

With the newly redesigned Square Point of Sale app, fulfilling and managing orders is easier than ever. For sellers who are actively managing orders, the Orders section will be accessible from the navigation bar at the bottom of your screen. This allows you to quickly access the information you need to complete orders for your customers in real time. Whether you’re shipping items across the country or preparing orders for contactless pickup, Square Point of Sale’s Order Manager is a one-stop shop for simple order fulfilment. Note: Sellers who aren’t actively creating and managing orders will not see the Orders option in their navigation bar, but can still access the feature by navigating to More > Orders.

Managing Orders on a Tablet

  1. From the navigation bar of your Square Point of Sale app, tap Orders.

  2. You’ll see each order listed, along with the time elapsed since the original order was placed.

  3. Tap an order to bring up the details page and click Mark as In Progress to start the fulfilment process.

  4. Depending on the fulfilment type (Delivery, Shipment, Pickup, Curbside or Digital), tap Mark as ShippedMark as Ready or Complete Order.

Managing Orders on a Mobile Device or Square Terminal

  1. From the navigation bar of your Square Point of Sale app, tap Orders.

Creating Orders on a Tablet, Mobile Device or Square Terminal

In order to start accepting pickup orders, you’ll need to turn on the Create orders in checkout setting on Square Point of Sale. To do so, follow the steps:

  1. From the navigation bar of your Square Point of Sale app, tap More > Settings > Orders.

  2. Tap Order Creation.

  3. Toggle on the Create orders in checkout button.

To create an order:

  1. From the Library tab or Favourites tab on your Checkout screen, add items to the current sale.

  2. Tap Schedule for pickup on the right-hand side.

  3. Tap Add a customer to add your customer to the sale.

  4. Select an order type (e.g. In-store or Curbside pickup) > tap Next.

  5. Select a Pickup time > tap Done.

  6. Continue the Checkout process.

Reviewing Sales

Keeping track of sales is a crucial part of running any successful business. That’s why, with the redesigned Square Point of Sale app, you’ll have access to reporting in live time – ensuring you have full visibility into how your business is doing day-in and day-out. From cash drawer reporting to overall sales reports and graphs, keeping an eye on how your business is performing has never been easier.

Reviewing Sales on a Tablet

  1. From the Square Point of Sale app, tap More from the navigation bar > Reports.

  2. Select from a variety of different reports, including Cash Drawer reporting, Sales reporting, Disputes reporting and Loyalty reporting.

  3. Using the toggle icon, customize your report by time frame and filter by device and/or team member > tap Done.

  4. From here, you’ll be able to review the report in question. If you’re reviewing the Sales Report, click the arrow icon to email the report to an email address of your choice.

Reviewing Sales on a Mobile Device or Square Terminal

  1. From the Square Point of Sale app, tap More from the navigation bar > Reports.

  2. Select from a variety of different reports, including Cash Drawer reporting (not available on mobile devices), Sales reporting, Disputes reporting and Loyalty reporting.

  3. Tap the date near the top of the report to customize by time frame and filter by device and/or team member, or tap the toggle icon from your Square Terminal > tap Done.

  4. From here, you’ll be able to review the report in question. If you’re reviewing the Sales Report, click the arrow icon to email the report to an email address of your choice.

Signing Out

If you need to sign out of the Square Point of Sale app for any reason, you can do so by tapping More from the navigation bar at the bottom of your screen and selecting Sign out.

FAQ

Can I customize which applets appear in the navigation bar at the bottom of my app screen?

At this time, the ability to customize which applets show up in your primary navigation bar is unavailable. As standard, you’ll always have access to the Checkout, Transactions, Notifications and More sections. If you’re actively creating and managing orders through Square Online, you’ll also have access to the Orders section from your primary navigation.

Can I turn the “Add a customer” button in Checkout on or off?

Yes. If you’d prefer to remove the option to add a customer directly from the checkout flow, visit More > Settings > Checkout > Customer management > toggle Collect Before Checkout off.

Can I customize the name(s) of my Favourites pages?

Yes. To rename your Favourites page(s) to something else (e.g. Drinks, Food, Merchandise, etc.), tap the pencil icon next to the name of the Favourites page while creating or editing your Favourites.

Can I add multiple Favourites pages when using a mobile device or Square Terminal?

At this time, the ability to add more than one Favourites page when using Square Point of Sale on a mobile device or Square Terminal is unavailable. As a workaround, you may want to add Categories to your Favourites page, which will give you the ability to access your items from one singular location, organized by item category. If you’re using a tablet, you can add up to six Favourites pages.

Can I skip the “Review Sale” button during checkout?

Yes. If you’re completing a sale for a single, custom amount, you can skip the Review Sale step by going to More > Settings > Checkout > Payment types > toggle on Skip review sale.

Where can I access features like Settings, Invoices and Reporting?

If you’re looking for a section of the app that’s not in the primary navigation bar at the bottom of your screen, tap More to access even more features available through the Square Point of Sale app. From the More section, you can access Invoices, Reports, Items, Customers, Team, Balance, Support and Settings. If you aren’t actively creating and managing orders through Square Online, the Orders section will also appear under More.

Can I revert back to the previous version of the Square Point of Sale app?

Yes – but only for a limited time. If you’d like to revert back to the previous version of the app, head to More > Settings > Checkout > under Appearance, tap Revert to previous experience. If you’ve accidentally opted out, you can follow the instructions included here and tap Upgrade to the new Square Point of Sale to opt back in.

Where is the button to clock in or out?

If you have Passcodes enabled, the button to clock in/out and will be available in the corner of the Enter Passcode screen and will appear as a clock icon. If you aren’t clocked in/out while entering your passcode, you’ll see a notification prompting you to either clock in/out or log out completely.

Can't find what you need?
