Create and Charge Square House Accounts

With Square House Accounts, you can create accounts for your customers that allow you to keep a running balance of items or services purchased for payment at a later date and send an invoice to collect payments.

You can charge to a customer's house account on all Square payment hardware and mobile devices as well as from the latest versions of the Square Point of Sale, Square for Restaurants POS, Square for Retail POS, and Square Appointments POS apps.

Create a House Account

Create individual house accounts for your customers from your Square Dashboard:

  1. Log in to your online Square Dashboard and click Payments > House accounts.

  2. Click Create House Account.

  3. Select the customer for the account and the business location.

  4. Optional: Add an account name and notes.

  5. Enter a spending limit.

  6. Select the customer’s preferred billing method.

  7. Click Save.

Note: After creating your first account in Square Dashboard, you can create subsequent house accounts directly from your Point of Sale apps under Customers on your Android and iOS devices.

Add House Accounts as a Payment Option (Optional)

To configure the display order of Square House Accounts as a payment option on the checkout screen:

  1. Open your Square Point of Sale app and tap ≡ More > Settings > Checkout.

  2. Tap Payment.

  3. Find House Account.

  4. Drag and drop within the list to reorder your payment options.

Charge to a House Account

Once you have made at least one House Account, you can start charging purchases to a customer’s House Accounts.

To charge purchases to a house account from the Point of Sale app:

  1. Open your Square Point of Sale app and tap Checkout.

  2. Add items to the sale.

  3. Tap Charge.

  4. For the payment type, tap House Account.

  5. Tap Confirm > Charge.

Note: The ability to split a charge to a Square House Account between two different payment types is not available at this time.

Refund a Charge to a House Account

To refund a charge that was made to a customer's account, follow the steps to refund a payment as you would for any other transaction. Once the payment has been refunded, the customer's account balance will be automatically adjusted. 

Create Invoices for House Accounts

Set up recurring Square Invoices or automatic payments to settle your customers’ accounts. You can also collect individual payments for a house account by manually creating an invoice and sending it to your customer.

Create a House Account Invoice from Square Dashboard

  1. Log in to your Square Dashboard and click Payments > House accounts.

  2. Select the house account you want to charge.

  3. Click Collect Payment.

  4. Choose the delivery option. Select Manually to create a shareable link.

  5. Select the invoice send date and due date.

  6. Optional: Add a note to the invoice.

  7. Click Send.

Note: An account balance statement that includes transaction details will be attached to the invoice as a PDF.

Create a House Account Invoice from Square Point of Sale

  1. Open your Point of Sale app and tap More.

  2. Tap Customers.

  3. Search for the customer you want to charge and find their house account.

  4. Tap ••• > Collect Payment.

  5. Fill in the associated information as required.

Note: In order to collect payment through a Square Invoice, a customer's house account must have purchases charged to it and have a negative balance. You cannot collect prepayments using house accounts at this time.

Manually collect a payment on an invoice from Square Dashboard

  1. Log in to your Square Dashboard and click Payments > Invoices.

  2. On the left, tap Invoices.

  3. Select the invoice you want to manually collect payment on.

  4. Tap Add payment

  5. Select Charge Card or Record payment to record a payment with cash check or other tender type. 

  6. Tap Confirm

Edit House Accounts

Edit customer house accounts online:

  1. Log in to your Square Dashboard and click Payments > House Accounts.

  2. Select the house account you want to edit.

  3. Click ••• > Edit account details.

  4. Make any changes and click Save.

Edit customer house accounts from the Point of Sale app:

  1. Open your Square Point of Sale app and tap More > Customers.

  2. Select customer.

  3. Tap  ••• > Edit account details.

  4. Edit house account and tap Save.

Lock a House Account

You can lock a customer's House Account, so they can no longer charge to their account. To lock an account:

  1. Log in to your Square Dashboard and click Payments > House accounts.

  2. Select the house account you want to lock.

  3. Click ••• > Lock account.

To lock a house account from the Point of Sale app:

  1. Open your Square Point of Sale app and tap More > Customers.

  2. Select customer.

  3. Tap ••• > Lock account..

Tap Lock account.

View Your House Accounts Reporting

To view a report of your house accounts transactions:  

  1. Log in to your Square Dashboard and click Reporting.

  2. To view your total outstanding house accounts balance, click Sales Summary.

To view the total amount of sales using house accounts as a payment method:

  1. Log in to your Square Dashboard and click Reporting.

  2. Click Payment Methods. This will show you all the house account related transactions.

Note: Bill payments (i.e. payments made to pay off a house account balance) are not counted towards total sales. There are still a few places where you can view these bills payments: the Invoices applet, the House Accounts applet and the Payment methods reporting page.

To view specific information for each house account including balances: 

  1. Log in to your Square Dashboard and click Payments > House Accounts.

  2. Click the Reports tab

  3. Tap Date to adjust the date range

  4. At the top click Export CSV to download the report

Set Up House Account Permissions

Set up permissions for house accounts that allow your team members to create, edit, and charge house accounts from Square Dashboard or the Square Point of Sale app.

  1. Log in to your Square Dashboard and click Staff > Team > Permissions.

  2. Click a team member and select House accounts.

  3. Toggle on House accounts.

  4. Check the permissions your team members can carry out.

  5. Click Continue.
