Set up time tracking

  • About time tracking

    With timecards, you can track your team members’ working time. A timecard is the record of a set of shifts, generally associated with a business’ pay period. Depending on the timeframe viewed, a timecard can include both in-progress and completed shifts.

    With timecards, your team members can clock in and out, and view or print their workday summaries. You can track team member hours, breaks, shift history, and overtime online with timecards. 

    Before you begin

    • Before you can track team member hours, assign each team member a personal passcode so they can clock in and out of the app. Learn how to require passcodes at point of sale.

    • You can turn on time tracking from your Square Point of Sale app if you have the Shifts add-on enabled. Learn how to manage your Square point of sale add-ons.

    • You can turn on time tracking from your Square Dashboard if you have Modes enabled. You can also customise timecard settings, like early and late clock-ins. Learn how to Create and assign modes.

    Enable time tracking

    Timecards should automatically be activated on your account after you assign a passcode to your team members.

    Square app

    If you don’t see a clock in the bottom-right-hand corner when you’re logged in to the Square app, follow these steps:

    1. From your Square Point of Sale app, tap Settings > Shifts.
    2. For Time tracking, toggle Track team member time on.

    Your team members can now clock in and out in the app using their individual passcodes.

    Square Dashboard

    1. Sign in to Square Dashboard and go to Staff > Settings > Clock in/out.
    2. Under Track time on POS, click Edit POS settings.
    3. Select the existing mode, then click Manage.
    4. Under Settings, click Shifts.
    5. Toggle Track team member time on, then click Save.

    Customise schedule enforcement settings

    You can customise the clock in/out settings for team members from your Square Dashboard. You can allow them to clock in or out from the Square Team app, block early clock-ins, or set up auto clock out.

    1. Sign in to Square Dashboard and go to Staff > Settings > Clock in/out.

    2. To allow team members to clock in or out from the Square Team app, toggle on Clock in/out from Team app.

    3. To block early clock ins, toggle on Block early or unscheduled clock-ins and set an Allow within time limit. If you toggle on this setting, team members will receive a notification if they attempt to clock in outside of the time limit.

    4. To  allow automatic clock-outs, toggle on Automatically clock out at end of shift, select Confirm, and set an After time limit.

    5. Select Save.

    Auto clock-out and blocking early/unscheduled clock-ins require Shifts Plus or Premium Plans.
