Customise Notifications for Square Appointments

Your clients can receive notifications about their appointments through SMS messages, email or both according to their notification preferences. You can customise the automated email and SMS notification message through your Square Dashboard.

Notification Types

New appointments

  • Business accepted the appointment

  • Business declined the appointment

  • Business declined the appointment with changes

  • Client requested appointment

Note: These notifications are only sent if you have the accept/decline setting turned on.

Confirmations and reminders

  • Confirmation requests

  • Reminders

  • Reminders with confirmation requests

Note: Reminders with confirmation requests will only be sent for Appointments Plus and Premium users.

Appointment changes

  • Business rescheduled appointment

  • Business changed appointment

  • Client rescheduled appointment

Note: These notifications only send when you have the online booking + ‘client allowed to reschedule’ settings turned on.

  • Business accepted client reschedule with changes

  • Business declined the client’s rescheduled appointment

Note: These notifications are only sent if you have the accept/decline setting turned on.

Appointment cancellations

  • Business cancelled appointment

  • Client marked as no-show

  • Client cancelled appointment

Edit Your Notification Message

  1. Log in to your Square Dashboard and click Appointments > Settings > Communications.

  2. Under Customise Notifications, select the notification you want to edit.  You can toggle between editing the SMS and the email version of the notification.

  3. To include automated fields, like client name or business name, copy the variables from the table and paste them into your message.

  4. Click Save.

For SMS notifications, the default message will be sent if the customised message fails to send. This can happen if the message you input exceeds the SMS length of 1024 characters.

Note: Appointment notifications are for transactional messages only; marketing and promotional language will be blocked. You can use Square Marketing to send email and SMS marketing campaigns.
