Navigate the Square Invoices Overview Page in Dashboard

Square Invoices provides you with a centralised location to view your invoices, recurring invoices, estimates and projects.

You can easily create, send and manage estimates, invoices and recurring payments while monitoring organised invoice activity. You can also manage and organise all of your files and attachments by creating project folders.

You can use the search bar at the top of the Square Invoices Overview page to search and view invoices, estimates and any recurring invoices.

You are able to search based on the following criteria:

-Customer name
-Customer email
-Customer billing address
-Customer phone number
-Customer company name
-Line item names

Activity filters

Your feed will provide an ordered list of activity related to your estimates, invoices, recurring payments and reports. If you’re taking payments for the first time, you’ll start seeing activity in your feed after sending a few invoices.

From the Projects tab, you can create projects folders and add invoices, estimates, contracts or recurring invoices. To get started, select Projects > Create project.

In your Dashboard, go to Payments > Invoices tab to view, search, filter and create invoices or export existing invoices to a CSV file. To create an invoice, select Create invoice.

You can view an invoices series, download a PDF of an invoice and duplicate, print or archive an invoice by clicking ••• next to the desired invoice.

Bulk Actions

From the Invoices tab, you can complete the following bulk actions:

  • Bulk archive

  • Bulk cancel

  • Bulk print (up to 30 invoices at a time)

  • Mark as paid

You can also delete multiple invoices in Draft status. You cannot delete invoices that have been sent to the customer or paid. Once you bulk delete draft invoices, this action cannot be undone.

To complete bulk actions, manually tick the boxes next to the relevant invoices. You can complete one bulk action at a time.


From the Recurring section, you can view, search, filter and create recurring invoice series. To create a recurring invoice series, select Create recurring series.

You can view, edit or end recurring series by clicking ••• next to a series.


From Estimates tab section, you can view, search, filter and create estimates. To create an estimate, select Create estimate.

You can duplicate or archive an estimate by clicking ••• next to an estimate.


You can view a list of customers who have outstanding invoices and the total amount you are owed across all customers. You can also view how many days each invoice is overdue, send your customers a reminder to pay the outstanding balance or view a filtered list of outstanding invoices for a particular customer.

To view your outstanding invoices:

  1. Go to Payments > Invoices > Reports.

  2. To view details for a specific customer, enter the customer name in the search bar.

  3. Click ••• to send reminders, view customer details or view invoices.

You can also download your reports as a CSV file. To do so, select Export and a file will download to your computer.



From your Square Invoices Overview page, go to Settings > Invoices to adjust the default settings for new invoices. These settings can be overridden on individual invoices.


Within Payments > Invoices > Settings > Estimates, you can adjust the default settings for new estimates. These settings can be overridden on individual estimates.

Here you can set up your default title, message, delivery method, when the estimate is sent and when it expires.


You can create and customise pre-defined invoice templates. These custom templates will automatically include default information, like an invoice message and accepted payment methods, when you create a new invoice. You can create up to 100 templates and choose the template that you want to use when creating a new invoice.

You can also configure additional customisable options for your invoices, including adding custom fields and setting your default payment methods.


Within Payments > Invoices > Settings > Notifications, you can toggle on different notifications for invoices and estimates.

Push notifications are automatically sent to your mobile device; while email notifications are sent to your email address. These notifications help keep track of things like invoice and estimate updates, your outstanding cash flow and your sales trends.
