Manage Square Online from Square Point of Sale

For a seamless experience, you can build and manage your Square Online website directly from your Square Point of Sale using the Online add-on. Additionally, the add-on enables you to configure other settings related to items and orders, making your website easier to manage on the go.

Note: the Online add-on is available on Square Point of Sale and Square for Retail.

Before you begin

Make sure you’ve downloaded the Square Point of Sale app.

Note: settings included for Square Online in the POS app are the most critical ones you’ll need access to on the go. For additional settings not found in the POS app, head to your Square Dashboard and select Online > Online to open your Square Online Overview page.

Add the Online Add-on

To download and add the Online add-on to your Square Point of Sale:

  1. from your Square Point of Sale, go to ≡ More > Add-ons.

  2. Tap Online.

  3. Tap Add to Point of Sale.

When finished, tap Open Online directly from the add-on screen to open the add-on. You can also go to ≡ More > Online. If you don’t have an existing Square Online account, a website will be automatically generated to help you get started.

Manage your website

Edit your site

  1. From your Square Point of Sale, go to ≡ More > Online.
  2. Tap Edit site to start editing your website. If you have multiple websites, tap Switch site and select the site you want to edit.
  3. Tap Preview site to view your live website.

Note: the mobile-friendly version of the Square Online site editor has most of the features of the desktop version. For a larger view, Navigate the Square Online site editor from your online Square Dashboard.

Manage your site address

Note: use a custom domain name by upgrading your Square Online subscription.

You’ll be able to change your free subdomain in the POS app, but you won’t be able to set up a custom domain. To connect or transfer a custom domain to Square, head to your Square Online Overview page in Dashboard. For more information, check out how to Get started with domains for Square Online.

Manage online items

Create items

You can build your item library at any time with the Square Point of Sale app. Learn how to Create and manage items from the Square app for more details.

Edit item visibility

To edit your Square Online item visibility:

  1. from your Square Point of Sale, go to ≡ More > Items.
  2. Tap All items.
  3. Tap the item you want to edit and scroll down to the Online section.
  4. Tap Site visibility and select either Visible, Hidden or Unavailable.
  5. Tap Save when finished.

The available item visibility settings are as follows:

  • visible: your item is visible on your online ordering page and available for purchase. It will also show up in navigation and site search results.
  • Hidden: your item is available for purchase online but won’t display on your ordering page. You can still add the item to featured item sections (useful for events and donations) or give buyers a direct link to the item (useful for exclusive items).   • Unavailable: your item isn’t visible online and can’t be purchased, which is useful if you aren’t ready to sell the item.

Edit item settings

To edit your Square Online item settings:

  1. from your Square Point of Sale, go to ≡ More > Items.
  2. Tap All items.
  3. Tap the item you want to edit and scroll down to the Online section.
  4. Tap Site settings to customise additional settings for your Square Online items, including:

  • fulfilment methods: enable shipping, collection, local delivery and QR code ordering for your item.
  • Collection & delivery prep time: for items that have collection and local delivery selected as the fulfilment method, you choose your item’s prep time for collection and local delivery orders.
  • Site categories: select the categories where the item will be available on your website.

Manage online orders

Update fulfilment settings for online orders

To manage collection and local delivery settings:

  1. from your Square Point of Sale, go to ≡ More > Online.
  2. Tap the cogwheel icon.
  3. Select Update collection & delivery to set up or update your fulfilment settings.
  4. Toggle Collection or Delivery on, and tap Save when you’ve finished setting up the fulfilment option. If you’re setting up the fulfilment option for the first time, you’ll be asked to provide additional information to customise the ordering flow.

Temporarily extend prep times

You can temporarily add 15 minutes to a location’s prep time during busy periods to give yourself more time to complete your active and incoming orders. To start:

  1. from your Square Point of Sale, tap ≡ More > Orders.
  2. Tap the clock icon on the Order Manager screen to view your ‘Order timing’ settings.
  3. Toggle Busy mode on.
  4. Choose how long to temporarily increase your prep time: 15 minutes, 30 minutes or 1 hour. While busy mode is on for the time period you choose, 15 minutes will be added to your current location’s prep time.
  5. Tap Save.

Once enabled, you can see the remaining time in busy mode on your Orders page. Here, you can also select Exit Busy Mode to resume your regular prep times, or select Extend to extend its duration.

Delay order collection times for collection and local delivery

During busy shifts with more orders coming in than expected, you may want to delay the collection time so that the customer or local delivery courier knows they can collection their order at a later time. Delay orders as soon as you know you can’t make the expected time to mitigate the number of waiting customers or couriers.

Note: order delays are accepted per service and integration type, so check with your integration partner that you can delay your orders if needed. Some orders can’t be delayed.

To adjust the collection time for an order:

  1. from your Square Point of Sale, go to ≡ More > Orders.
  2. Select the order you need to delay. Note: for orders that can be delayed, you’ll see a right-pointing arrow next to the time.
  3. Select Edit.
  4. Choose from a preset list of time intervals (by 15-minute increments), or select Other to manually select a time period.
  5. Tap Save to send the update to the integration partner (where your customer ordered). The partner will then let the customer or courier know that the order is delayed.

Pause online orders

You can pause orders that are either for collection or local delivery for your location. To start:

  1. from your Square Point of Sale, go to ≡ More > Orders.
  2. Tap the clock icon on the Order Manager screen to view your ‘Order timing’ settings.
  3. Under ‘Pause orders’, tap Pause next to the fulfilment method you want to pause orders for. You can choose to pause collection only, delivery only or both.
  4. Tap Save when finished.

You can see the status of your online orders on the Online add-on homepage and select the order status to resume online orders at any time.

Remove the Online add-on

To remove the Online add-on:

  1. from your Square Point of Sale, go to ≡ More > Add-ons.

  2. Tap Online.

  3. Tap ••• > Remove.

  4. Tap Remove again to confirm.

Note: if the add-on you want to remove is connected to a paid subscription, you’ll need to unsubscribe through your online Square Dashboard before removing the add-on. Once the subscription ends, you can remove the add-on from your Square Point of Sale app.
