Import, Export and Batch Update Square Online Products

If you’re selling a lot of items, adding them to your store can be time consuming. You can use the import/export feature to save yourself some time. This can also be helpful if you want to make changes to multiple items.

Use this feature when:

  • You have more than a few items to add.

  • You’re moving your items from another provider.

  • You want to make updates to multiple items at once. In this case, you would export your items first.

About Exporting

When you export items from your store, the information is saved to a CSV (Comma Separated Values) file that you can open using any spreadsheet app, like Google Sheets, Microsoft Excel or Apple Numbers.

Here’s an example of what that looks like:

Each line in the sheet represents an individual item. If your item has options like size or colour, then there’s a line for every possible option combination. For example, if your item is available in sizes S, M and L, then you’ll have three separate line items for the sizes.

Tip: If you’re going to sell non-physical items or items with options, then create at least one of each type before you export. You can use those for reference when you update the CSV file.

To export existing items, go to Items > Item Library on your dashboard. Click the “. . .” icon and select Export. You’ll receive an email with a link to the file at the email address on your account.

About Importing

When you import items from scratch, your file must be formatted correctly. For this reason, it’s a good idea to export a CSV file first so you’ll have the file in the right format. Then you can edit that file and import it back in. Existing items with new information are updated, and brand new items will be added. You can’t delete items this way, so don’t worry if you want to use a CSV to update only a few of your items – none of your other items will be affected.

When using the import/export feature to add items for the first time, your workflow might look like this:

Create an item manually, save the new item, then export that to a CSV file. Open the CSV file, edit the item and add any other items. Then you can import the edited CSV file.

To import items:

Go to Items > Item Library and click the “. . .” icons, then select Import Items.

  • Choose Import CSV file.

  • Click Select CSV File.

  • Find and add the CSV file you want to upload.

  • Allow a moment for the file to upload, then click the Import button.

  • You’ll see a page showing the information from the file. Review it to make sure everything looks ok. Weebly compares each line item in the file to current items based on the unique ID. Existing items are updated, and new items are added. You’ll see a message stating how many items will be created or updated.

If you want to go back and make more changes, click Cancel. Otherwise, click Import to finish.

Required Fields

This table will help you to understand the different fields in the exported file. Note that some columns (like PRODUCT ID) should not be edited.

PRODUCT_ID A unique ID that Weebly gives to each item. No. Weebly generates this value. If creating a new item, leave it blank. No.
TITLE The name for your item. This normally shows up below your item image on a category page and next to the image on the item page. Yes. Yes.
DESCRIPTION A description for your item. Yes. No.
IMAGE This is the URL to the item’s main image in the Weebly system. If you have multiple item images and want them to be exported, you’ll need to add the images to another SKU in the item options. Don’t edit this field or delete it. If you need to add an image, you can do that after the import. No. This is a Weebly-specific URL. Do not add, change, or delete No.
CATEGORIES These are the categories that this item will be shown with. If the item belongs to a sub-category, only the sub-category (and not any parent category(ies) is displayed. If an item belongs to more than one category, all are displayed with commas separating each. Yes. No.
TRACK INVENTORY TRUE if you want Weebly to track the inventory, FALSE if you don’t. If you enter TRUE, make sure you have a quantity entered in the INVENTORY column. Yes. Yes.
TAXABLE TRUE if tax should be charged for the item, FALSE if not. If you enter TRUE, make sure you set up your taxes! Yes. Yes.
SKU This is a number you enter to represent a singular version of this item. If you use another system to track your items, make sure you use the same SKU number here. No. If you use a different SKU number, a new SKU will be created. No.
PRICE The regular price for the item. Yes. Yes.
SALE PRICE An optional discounted price. This is displayed next to the striked-out original price. Yes. No.
PRODUCT TYPE Items can be either physical goods, digital goods, services, events, donations, or memberships. Yes, but must be one of the pre-defined types. Yes.
OPTION NAME Name to be used for this option, for example, size or color. No. If you edit the option, a new option will be created. No.
OPTION TYPE How the option choices are displayed in the store Yes, but must be either dropdown, multiple choice, or color choice. No.
OPTION VALUE The value for this particular version of the item (the option choice) Yes. No.
