Intuit Quickbooks Sync With Square FAQ

Find answers to common questions about QuickBook’s integration with Square.

What is QuickBooks Online Sync with Square?

Sync with Square imports your Square sales and settlements into QuickBooks Online. At the end of the day, each sale processed through Square is automatically imported into QuickBooks as an invoice and payment. Once your transactions sync with QuickBooks, you’ll be able to view:

  • Transaction details: Including sales information, refunds, taxes, tips, and discounts.

  • Invoice details: Including items and quantities sold, discounts, shipping costs, and taxes applied.

  • Fees: Square processing fees and bank transfer fees.

What do I need to know before I connect to Sync with Square?

Before you connect, make sure you:

  • Set up sales tax in QuickBooks.

  • Make sure that the bank account you use for receiving transfers from Square is set up in QuickBooks.

  • Optionally, import your Square Item Library to QuickBooks. This will let QuickBooks automatically assign the right items to a sale when your Square transactions are imported.

How do I connect to Sync with Square?

You can easily connect to Sync with Square from the Intuit QuickBooks Apps page or from within QuickBooks. Review step-by-step instructions for connecting QuickBooks with Square.

How do I import transactions with Sync with Square?

After you connect, transactions start importing automatically on a nightly basis. Depending on the number of transactions, it might take about 24 hours for all your transactions to import. We recommend that you review your imported Square transactions on a regular basis to make adjustments or additions if needed. Read more about reviewing transactions from Square after they import.

What about historical transactions?

You can import up to 18 months of previous Square transactions.

How many times a day does Sync with Square import my transactions?

This app imports transactions once a day, at the end of the day. The import starts from the day that you connect to Sync with Square. You also get a summary of these imports via email, unless you choose to turn this subscription off. Learn how to turn your email notifications on or off from your QuickBooks settings.

How is Sync with Square different from bank feeds?

Sync with Square imports transactions to reflect your sales, fees, refunds, tips, and transfers from Square, whereas connecting your Square settlement bank account only brings in the transfer transactions. Settlement transactions imported through Sync with Square are recorded as transfers in QuickBooks, with detailed information on the settlement. We recommend that you match this settlement to the corresponding transaction that comes through your bank feed. Read how to match downloaded items to QuickBooks transactions.

What does Sync with Square not do at this time?

At this time, Sync with Square does not do the following:

  • Provide support for multiple locations: This app works best if you only use a single location within Square. If you have multiple locations in Square, we can connect to only one location at a time. You’ll need to attach different locations to different QuickBooks companies, or reconnect to Square each time you wish to change locations.

  • Import customer details: Currently, we are not able to retrieve customer details from Square, such as name and email address. Instead, we create a default customer called Square Customer for all Square transactions.

  • Provide a summary of your transactions: A single, unified summary view of your daily transactions is not provided. Instead, each transaction is automatically imported daily, one-by-one after it has posted. You might not prefer this method of import if you have a high number of individual sales through Square.
